    Head of Operations

    JOB SUMMARY:

    The Head of Operations will play a critical role in overseeing and optimizing administrative, procurement, and information technology functions within WWF-Kenya. This position is vital for ensuring smooth operations across all our landscapes and programmes. The job holder will be part of the Senior Management Team and will provide regular updates on operational performance, challenges, and opportunities.

    ROLES AND RESPONSIBILITIES:
     
    Administration:

    • Oversee day-to-day administrative functions across all landscapes.
    • Develop and implement policies and procedures to ensure effective office management.
    • Manage facilities, office equipment, and provide administrative support to teams.

    Procurement:

    • Develop and implement procurement strategies to ensure cost-effective sourcing of goods and services.
    • Negotiate and manage supplier contracts and relationships.
    • Streamline procurement processes for efficiency and compliance.

    Information Technology:

    • Oversee the organization's IT infrastructure, systems, and networks.
    • Collaborate with IT teams to ensure data security, system reliability, and technology innovation.
    • Implement and maintain IT policies and procedures.

     Landscape Operations:

    • Coordinate and standardize operational procedures across all landscapes.
    • Collaborate with branch managers to address operational challenges and ensure uniformity in processes.

     Resource Management:

    • Optimize resource allocation for administration, procurement, and IT functions.
    • Ensure availability of necessary tools, equipment, and technology to support operational activities.

     Risk Management:

    • Identify potential operational risks in administration, procurement, and IT.
    • Implement risk management protocols and ensure compliance with industry standards.

     Quality Assurance:

    • Establish and maintain quality standards for administrative processes, procurement, and IT services.
    • Implement quality control measures to ensure compliance with conservation industry standards.

    REQUIRED EDUCATION AND EXPERIENCE:

    • Bachelor's degree in Business Administration, Information Technology, Supply Chain Management, or a related field. A Master's degree is a plus.
    • Minimum of 10 years of experience in operations management, with a focus on Administration, ICT, and Procurement.

    REQUIRED SKILLS/ABILITIES:  

    • Proven experience in developing and implementing operational policies and procedures.
    • Strong leadership and team management skills.
    • Excellent communication and interpersonal skills.
    • Ability to analyse data and make strategic decisions.
    • Proficiency in using relevant software and technology.
    • Strong leadership and decision-making skills.
    • Experience in procurement processes and vendor management.
    • In-depth knowledge of information technology and its applications in organizational settings.

      Key Performance Indicators (KPIs):

    • Efficiency and effectiveness of administrative processes.
    • Cost savings and improved procurement processes.
    • Reliability and security of IT systems.
    • Standardization of operations across all landscapes.
    • Mitigation of operational risks.
