    Information Technology Assistant (Temporary Position)

    Responsibilities

    • Implements the information systems policy, strategies and activities of the Division of Conference Services; ensures the day-to-day functioning of the division's information systems and programs, carries out research and evaluation of hardware, software, and communication products, and assists in establishing and maintaining performance indicators.
    • Provides specialized training and support to DCS staff members on all software, databases and specialized software necessary for their work: (DtSearch, Official Documents System, Adobe Acrobat Suite and all internal Global systems, e.g., gDOC, gMeets, eAPG, eLuna, Installs and maintains all the above and any other necessary specialized software, ensuring proper configuration, testing, technical support, conducting troubleshooting when problems arise.
    • Liaises with UNOV, UNOG and UNHQ for maintaining and upgrading these systems; Studies new software packages (CAT) and collects information from users regarding needs so as to create software needs assessments, proposing solutions (software, training, automation); writes and maintain documentation and user manuals of the software used, pertinent to basic and advanced operations.
    • Provides a full range of technical assistance to the Division of Conference Services' staff members in the use of any software at the Division; formatting documents in MS Word and Excel (CAT Tools, recovery of information in case of problems, restoration of damaged files, security procedures, backup procedures, etc.; Ensure 24/7 operations and monitoring of assigned systems; Implement backups of servers following standard backup procedures. Provides support to DCS Staff during meetings serviced in-house and out of Nairobi within and outside working hours.
    • Restructures and maintains the DCS web page, making sure all the relevant information is kept up to date and liaising with corresponding sections. Manipulating and developing using SharePoint and Drupal Content Management Systems; Respond to requests from user offices and assist in deploying/configuring systems so as to conform to infrastructure standards; Conduct frequent proactive assessment of users' needs to take pertinent action.
    • Troubleshooting for hardware and software problems: Contacting vendors on hardware or software problems that may occur on equipment purchased from them; Facilitating software and hardware installation of new computers by providing all the required software; Troubleshoot/repair malfunctioning hardware creating adequate reports; Set guidelines and principles for problem reporting, resolution and follow up.
    • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
    • Assists with visualizations and updating information material such as web pages or brochures. 9. Perform other related duties as assigned.

    Education

    • Completion of a high school diploma is required.  
    • Training in computer programming and computer science or a closely related field is required.  
    • Additional training in Share Point Online (SPO) and Drupal at the advanced level is desirable.

    Work Experience

    • A minimum of seven (7) years' work experience in information systems analysis and programming, systems administration and maintenance, software development, technical writing or related area is required.
    • The minimum years of relevant experience is reduced to five (5) years for candidates who possess a first level University degree.    
    • Demonstrated ability and technical skills related to the creation of motion-pictures videos and animations is desirable.    
    • Experience in project management such as Prince2/PMP, technical maintenance is desirable.    
    • One (1) year or more of experience in data analytics or related area is desirable.

    Languages

    • English and French are the working languages of the United Nations Secretariat.
    • For the post advertised, fluency in oral and written English is required. Knowledge of another United Nations working language is desirable.  
    • NOTE: "Fluency equals a rating of "fluent" in all four areas (read, write, speak, understand) and " Knowledge of" equals a rating of " confident" in two of the four areas.

    Assessment

    • Evaluation of qualified candidates for this position may include a substantive assessment which will followed by a competency-based interview.

    • This is a Temporary Job Opening. Appointment against this position is available until 31 December 2024, a limited duration, and does not carry any expectancy, legal or otherwise, of renewal.
