    Tender Sourcing Assistant

    Position Overview:

    • The Tender Sourcing Assistant is responsible for identifying, sourcing, and assisting in the preparation and submission of tenders and Requests for Quotations (RFQs) to support business growth for Homes Universal. This role involves researching potential tender opportunities, compiling necessary documentation, and coordinating with various departments to ensure timely and accurate submission of tenders. The assistant will also be responsible for maintaining an organized database of all tender activities and results.

    Key Responsibilities:

    Tender Identification and Sourcing:

    • Proactively monitor and identify tender opportunities, RFQs, and bid invitations from various platforms and sources.
    • Develop and maintain a database of all relevant tender opportunities.

    Tender Preparation and Submission:

    • Coordinate with internal teams to gather required documentation, certifications, and information needed for tender submissions.
    • Assist in drafting and formatting tender documents, including cover letters, technical proposals, and cost estimates.
    • Ensure all tender documents meet the requirements and are submitted within deadlines.

    Compliance and Documentation:

    • Review and ensure all submitted documents are compliant with the terms and conditions of the tender.
    • Maintain a comprehensive record of submitted tenders, proposals, and related documents.

    Market and Competitor Analysis:

    • Conduct market research to understand industry trends, competitors' strategies, and client needs.
    • Provide insights on competitive pricing and strategies to increase the likelihood of winning tenders.


    Stakeholder Coordination

    • Liaise with key stakeholders, including suppliers, contractors, and internal departments, to gather and validate information for tender submissions.
    • Coordinate with the finance department for cost estimates and ensure accurate pricing in the tender documents.

    Follow-up and Reporting:

    • Track the status of submitted tenders and follow up on pending responses.
    • Prepare and present regular reports on tender activities, wins, and losses.

    Business Development Support:

    • Identify and pursue new business opportunities through tenders and RFQs to contribute to the organization's growth objectives.

    Skills and Expertise:

    • Analytical Skills: Strong analytical skills to assess tender requirements, evaluate risks, and analyze competitor bids.
    • Attention to Detail: High level of attention to detail to ensure the accuracy and completeness of tender documents.
    • Communication Skills: Excellent written and verbal communication skills for preparing clear and compelling tender submissions and coordinating with stakeholders.
    • Organizational Skills: Strong organizational and time-management skills to manage multiple tenders simultaneously and meet strict deadlines.
    • Negotiation Skills: Basic negotiation skills to engage with stakeholders and suppliers to gather accurate information and cost estimates.
    • Research Skills: Proficient in market research and competitor analysis to identify potential opportunities and risks.
    • Problem-Solving: Ability to think critically and resolve issues that may arise during the tendering process.

    Experience:

    • At least 2-3 years of experience in tender sourcing, bid management, or a similar role.
    • Experience in preparing and submitting tenders and RFQs in the construction, real estate, or other industries.
    • Familiarity with public and private sector procurement processes and regulations.

    Education:

    • Bachelor’s degree in Business Administration, Procurement, Supply Chain Management, or a related field.
    • Relevant certifications in procurement, tender management, or related areas are an added advantage.

    Training and Development:

    • Ongoing training in procurement regulations, tender preparation best practices, and market analysis.
    • Participation in workshops or seminars related to business development, tender management, and contract negotiation.
    • Training in relevant software tools, such as e-procurement platforms and document management systems.

    Overall Capabilities:

    • Strong ability to work independently and as part of a team to achieve common goals.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
    • Strong ethical standards and integrity in handling confidential information.
    • Ability to adapt quickly to changing market conditions and client needs.
    • Demonstrated commitment to continuous learning and professional development.
