    Community Service Assistant

    Job purpose

    • Community Service Assistant (CSA) position is primarily field based position which plays an important role as an interface between Dispensers for Safe Water and communities served with dispensers. This position ensures sufficient and uninterrupted supply of chlorine and service & maintenance of the installed chlorine dispensers. This in turn enables the community to successfully access and use the dispensers throughout for improved community health.

    Duties and responsibilities

    • Conducting dispensers hardware service and maintenance through regular spot checks to ensure proper functioning
    • Installing chlorine dispensers whenever necessary, in line with the organization’s protocols/specifications and guidelines.
    • Delivering chlorine to various chlorine dispensers located at water points by use of motorcycles.
    • Ensure safe handling and accountability of chlorine and dispenser stocks in the store/office and to the designated sites.
    • Proper Record Keeping by completing relevant forms/documents/records that are important in inventory
    • Engaging the target community to promote dispenser usage and handle any/all possible challenges and report the same to supervisor.
    • Collecting all field data for program assessment and accountability, by use of smartphones
    • Maintaining good integrity and stewardship of the Organizational assets assigned to you for work execution

    Key performance Indicators

    • All assigned dispensers must remain functional in usable condition all the time.
    • Maintain uninterrupted supply of chlorine to all assigned dispensers throughout the year
    • Maintain good rapport with target community, ensuring it is well engaged and embrace the chlorine dispensers and keep using these for improved health.
    • Program data is collected within the provided guidelines and shared with supervisor for next action
    • The dispenser empty rates and all noted/reported dispenser issues are addressed within the stated timelines.

    Qualifications

    • Minimum-KCSE graduate C- grade and at least a Certificate in communication, community work, Social work, project management or equivalent.
    • Certificate in computer skills in MS office suit
    • Stock management experience/qualifications is an added advantage
    • 1-2 yrs experience working with communities or social enterprises/NGOs
    • A MUST Motorcycle riding skills/experience with a valid Class : Category A riding license from a recognized driving school.

    Lead Officer -Program Implementation

    JOB ROLES

    Chlorine Delivery and Dispenser Maintenance

    • Oversee, facilitate and support chlorine delivery and dispenser hardware maintenance within allocated offices/Hubs and ensure 100% dispenser functionality.
    • Developing weekly work plans and reports for chlorine deliveries, spot checks, maintenance and ensure plans are followed.
    • Support chlorine delivery and dispenser maintenance quality checks ensuring quality data collection by the CSAs, timely submission and safe data storage.
    • Supervise dispenser installations by Masons and CSAs, ensuring adequate coordination and availability of necessary materials at water points.
    • Support fixing basic dispenser maintenance issues using hand drills and hand riveting tools and or any other appropriate tools in support of the CSAs
    • Ensure sustainable chlorine adoption rates in the field office.

    People Management

    • Manage CSAs, CSA PE & OA in an ongoing field office ensuring to foster excellent teamwork among the team to maximize on their program deliverables.
    • Train, supervise, mentor, and coach CSAs/Masons/CSAPE/OA in the their duties.

    • Motivate CSAs in performing their duties
    • Support in performance management of CSAs, CSAPEs, and O.As.
    • Embrace and support the CSAs to live the Organization’s values, mission, vision.

    Data Management

    • Field data collection and management for the Dispenser program implementation activities through smart phone technology
    • Timely updating of relevant trackers
    • Ensuring all data is submitted to the server at the end of the chlorine delivery round. Ensure well-organised filing of hard copy data in compliance with org policies and donor requirements.
    • Ensuring data collection tools and materials are up to date and fully usable.
    • Manage data correction requests in a timely and required manner

    Community Education/Sensitization

    • Field execution of dispenser related activities e.g. Lead community leaders meetings and local Govt sensitization meetings, Water Point Nominations/verification, Chlorine service delivery and field surveys administration on non-dispenser installations days
    • Conduct program awareness follow-ups and re-sensitization meetings to communities and the local leaders.
    • Facilitate promoter trainings at water points and sub-locational level

    Promoter Engagement and Management

    • Tracking and maintaining an updated list of promoters with most current contacts
    •  Facilitating the selection of new promoters or replaced promoters
    • Updating promoters records constantly.
    • Sharing any promoter changes with the call center team.
    • Liason with call center in ensuring competetent service to promoters and CSAs.

    Office and Resource Management

    • Manage allocated funds for daily running of the field and office activities in line with finance policy.
    • Effectively manage motorbike usage under his/her jurisdiction with close attention to, fueling, maintenance and repair costs.
    • Ensure appropriate documentation on motorbike fueling, repairs and usage reports.
    • Ensure adherence to HR, IT, finance, procurement and other  policies
    • Managing office inventory records and ensuring all relevant forms and records are correctly filled, stored and/or submitted.

    New Innovations

    • Participate  and support to lead implementation of  any new innovations or projects from the Safe Water Now

    Reporting and Feedback

    • Facilitating office feedback meetings and compiling weekly reports.
    • Timely feedback to direct reports on areas done well and areas that need improvement.
    • Facilitation of timely incident reporting for any incidents however minor.
    • Any other duties and responsibilities as may be assigned by supervisors.

    • Passion to work in a rural community setting and willingness to use a motorcycle.
    • Flexible mindset and willingness to relocate on a short notice to other field based assignments in other regions.

    • Good communication skills. Ability to communicate well within the organization and with the rural communities and local leaders 
    • Basic leadership skills in managing people ,working with communities and teams
    • Good computer skills and comfort to advance the skills in a dynamic IT field.
    • Proactive and ambitious to support innovation and change in a dynamic work space.
    • Positive attitude to work and to develop in a fast-paced work environment

    Qualifications

    • Diploma in Management, Community work, Project management or such.
    • Good language skills in English and Kiswahili both spoken and written 
    • 1-2 yrs experience working with communities/ social enterprises  NGOs
    • Minimum valid Class A1 Motor cycle/motor vehicle skills.
