    Finance Assistant Officer

    Job Overview

    • The Finance Assistant Officer under the direct supervision of the Head of Support Services (HoSS) and within the limits of Peace Winds Japan Kenya policies and procedures coordinates the facilitation of field activities and functions within PWJ. The Finance Assistant Officer will work closely with the management teamand other staff to perform a variety of tasks including, but not limited to:

    Roles & Responsibilities:

    • Provide support to Head of Support Services (HoSS) for the management of USD/KES cash and bank books;
    • Support HoSS for finalization of monthly financial report and submit to HQ on time;
    • Handling of Petty Cash and perform Cash Counts on every Friday (in presence of HoSS or Finance Officer) and file cash counts in file;
    • Ensure accuracy and completeness of the cash/bank books and ensure proper filling of all financial documents;
    • Support Finance Officer to make bill payment in the NetSuite ERP System by ensuring that all the pre-requisite supporting documents are available, signed and dated correctly;
    • Ensure an original invoice is obtaining after making the payments and file it with the voucher and supporting documents;
    • Ensure that all invoices are stamped using the PWJ/Donor Paid Stamp and that all invoices and or receipts are signed by the suppliers;
    • Ensure all vouchers with invoices and supporting documents are arranged in a chronological order and file them accordingly in the designated files;
    • Maintain the Cashbook in the NetSuite ERP System by ensuring that all transactions are properly recorded;
    • Supports with monthly accounts reconciliations, Bank reconciliations, and all cashbook reconciliations;
    • Support HoSS for donors reporting;
    • Maintain all finance files up to date;
    • Support Finance Officer and HR Officer for monthly payroll processes; and
    • Other duties as and when assigned by the Supervisor.

    Requirements:

    • Bachelor’s Degree in Finance, Business Administration, Accounting or related field with minimum of three years of experience or Diploma in Finance, Business Administration, Accounting or related field with minimum of five years of experience.
    • CPA 1 qualification will be an added advantage.
    • Good knowledge of financial management, budget control and accounting systems processes, preferably in a humanitarian or non-profit organization.
    • A comprehensive understanding of current accounting and taxes and accepted best practices.
    • Proficient in NetSuite ERP System.
    • Excellent planning and organizing skills and ability to adhere deadlines.

    Construction Supervisor

    Job Summary

    • The Construction Supervisor will be assisting Engineer in managing shelter construction, monitoring the quality of shelters and supervising the work of foremen and contractors. He will also ensure sufficient construction materials at the construction sites, report to Engineer on progress and issues/constraints in all aspects of shelter construction, as well as ensuring close coordination and communication with other stakeholders and maintaining good relationships with them

    Duties and Responsibilities Construction Supervisor

    • Sensitizing and motivating beneficiaries for project participation
    • Monitoring the progress of shelter construction to achieve the project goals in time
    • Monitoring the quality shelters and providing with technical support to foremen and contractors whenever necessary
    • Assisting Engineer in monitoring stock levels, consumption of material, and the use of equipment with servicing and repairs
    • Working closely with field staff to ensure good coordination and timely completion of tasks/targets
    • Ensuring good relations between PWJ field staff and the beneficiaries
    • Ensure the security and safety of PWJ shelter personnel and equipment in field
    • Perpetuating relationships established with other partners in Shelter sector – UNHCR, IOs, NGOs, Government- ensuring coordination and avoiding duplication.

    Educational/Technical/Professional and Experience Requirements

    • Degree in Civil engineering/ Building construction with a minimum of 3 years relevant experience or Higher/ ordinary diploma in Civil engineering/ Building construction with at least 7 years relevant experience.
    • Excellent spoken and written English Strong analytical, inter personal and team building skills
    • Proficiency in CAD
    • Experience in T-Shelter construction
    • Good management skills and experience in Shelter project monitoring
    • Sufficient experience and knowledge in humanitarian work (more than 3 years); previous experience managing shelter projects in an emergency / refugee set up is an added advantage
    • Ability to organize tasks simultaneously and prioritize work
    • Honest, responsible and in good physical condition to meet the job’s demands
    • Willingness to adhere to and carry out Peace Winds Japan rules
    • Ability to coordinate and manage staff and project activities with strong organizational and supervisory skills
    • Proven ability to work creatively and independently both in the field and in the office; Excellent writing, communication, and personnel management skills
    • Previous work experience with INGO in Dadaab will be an added advantage

    LANGUAGE SKILLS

    • English: professional fluency
    • Kiswahili: native/advanced

    Finance Officer

    Job Overview

    • The Finance Officer under the general supervision of the Area Manager and within the limits of Peace Winds Japan Kenya policies and procedures coordinates the facilitation of field activities and functions within PWJ. The Finance Officer will work closely with the management teamand other staff to perform a variety of tasks including, but not limited to:

    Roles & Responsibilities:

    • Provide support for preparation of donor financial reports and ensure complete, accurate reports and documentation are submitted to the Country Finance Department;
    • Support Country Finance Department for complying with policies and procedures related to financial management;
    • Ensure effective financial planning, budgeting, and expenditure tracking for different donor activities;
    • Review vouchers and documentation supporting field transactions. Identify risks and non-compliance with PWJ and donor regulations and control procedures. Work with program team to develop risk mitigation plan as required.
    • Support Country Finance Department for disbursement of funds and upload invoices of sub-contractors or suppliers into the NetSuite ERP System;
    • Ensure that field transactions are booked to the designated activity codes;
    • Support Country Finance Department for finalizing monthly financial report and submit to HQ on time;
    • Manage and analyze cash positions of the field office;
    • Provide training and support to program staff to improve their financial management skills;
    • Offer guidance on financial aspects of procurement and sub-contracts;
    • Support HR Officers for monthly payroll process together with incentive and casual worker’s payments;
    • Provide support Country Finance Department for calculations of tax and social security, reporting and submission of withholdings, and facilitate payment to government;
    • Prepare monthly cash/bank reconciliation; and
    • Other duties as and when assigned by the Supervisor.

    Requirements:

    • A bachelor's degree in Finance, Business Administration, Accounting or related field with minimum of five years of experience or Master’s Degree in Finance, Business Administration, Accounting or related field with minimum of three years of experience.
    • Must be a CPA(K).
    • High knowledge of financial management and accounting systems processes, preferably in a humanitarian or non-profit organization.
    • A comprehensive understanding of current accounting and taxes and accepted best practices;
    • Proficient in NetSuite ERP System.
    • Excellent planning and organizing skills and ability to adhere deadlines.
    • Advanced computer skills in MS office programs.
    • Strong analytical skills coupled with a solid understanding of financial systems; prior auditing experience is considered a plus.
    • Excellent oral and written English skills.
