    Patient Services Coordinator, Patient Services Department

    Job Purpose:

    Maintain the reception area by providing front office administrative services and customer care service to patients, AKU staff and the public by receiving and addressing inquiries in a professional and polished manner, while accounting for all daily financial transactions processed at the front desk/patient reception.

    Responsibilities:

    • Provide outstanding customer services to patients, public and AKU staff and ensure inquiries and complaints to the department are addressed expeditiously.
    • Consistently provide full coverage at all times at the front desk by clocking in and out in the HR time management software.
    • Beware of the down time and data protection procedure in the event of a system failure.
    • As a cashier, maintain a manual invoice and receipt process in the event of a computer system malfunction and upon resumption of computer system, update data and records in the computer system.
    • Admission of patients and collection of IP deposits as per the laid down guidelines.
    • Account for and balance all monies collected from patients on a daily basis and deposit the money to main hospital Automated Banking Machine at the end of a work shift.
    • Look in the computer system and verify and confirm credit services that are applicable to corporate employees as per the account entitlement details
    • Ensure the Pre-Authorizations are duly completed by the Physicians and sent to corporations for approval within 24hours.
    • Liaise with patient services supervisor, manager and patient’s insurance company regarding any uncertain approval of such cases.
    • Check and verify patient data in the computer system and bill the correct patient for the right services and collect the right amount of payment for the services.
    • Verify that all benefits for corporate employees are billed as per existing entitlement guidelines.
    • Assist other patient services staff when the need arises in order to foster overall efficiency of the department and deliver timely patient care.
    • Answers both internal and external phone calls promptly and respond appropriately. Communicate messages promptly and accurately to concerned persons in order to help in the maintenance of smooth organization of patient care.
    • Re-confirm/ update contact numbers of patients. In addition, ensure realistic appointments are booked and rescheduling is done on a timely basis. Rescheduling of appointments by the physicians must be communicated to the patients on time by the staff at the consulting clinics.
    • Escalate any difficult/challenges faced in the cause of the operations to the Duty Supervisor/ Manager promptly for assistance.
    • Any other duties as may be assigned from time to time.

    Qualifications and skills required:

    • Diploma in Front Office Administration/ Business Administration or equivalent.
    • At least 3 months’ work experience from the hospitality industry

    Supervisor- Stoma, Wound & Continence Services

    Applications are invited from qualified candidates for the above position based in Nairobi Kenya. The position holder will report to the Director, Surgical & Anaesthesia Services, Nursing Division.

    Responsibilities:

    • Is responsible for overseeing the delivery of quality stoma, wound and continence service for both inpatient and outpatient that promotes safety and wellbeing of all patients.
    • Maintains accurate records and ensures data collected on stoma and wound is well documented and utilized to improve care and practice.
    • Leads the team in development, implementation and review of policies, procedures, protocols and care guidelines based on current standards of Stoma, Wound and Continence care.
    • Monitors quality of the service including process, outcome and client satisfaction.
    • Participates in the budget process and ensures control of operational costs based on institutional targets.
    • Provides effective supervision of the nursing staff and utilizes learning opportunities for their development.
    • Fosters pleasant working environment through motivational leadership style to enhance job satisfaction amongst staff.
    • Continuously initiates innovative and evidence-based strategies to improve stoma and wound care nursing to be a resource for the service.
    • Utilizes currently available wound care products, participates in product evaluation and makes recommendation.
    • Participates in establishment of wound care standards and makes recommendations on treatment plan to patients, doctors and other stakeholders.
    • Ensures patient family education on stoma/wound care and other related topics.
    • In collaboration with the Manager, NES and Nursing Director, fosters development of nurses to maximum potential through providing training/education.

    Requirements:

    • Registered nurse with current licensure with the Nursing Council of Kenya
    • Certificate in Stoma, Wound& Continence Nursing
    • Certification in BLS
    • Minimum of ten (10) years clinical nursing experience in Medical-Surgical nursing in an acute care hospital.
    • Training and experience in Stoma and Wound Care.
    • Must possess leadership qualities, professional judgement, critical thinking, problem solving abilities and a sense of professional development.
    • Ability to work in a multidisciplinary team.

    Quality Advisor, Quality Department

    Job Summary

    • Support the implementation of quality and patient safety; enforce compliance with the hospital quality program across assigned departments, working together with the unit leadership and to carry out scheduled quality audits, guiding in corrective action formulation and implementation.
    • Support the implementation of utilization management across assigned clinical departments in order to deliver cost effective patient care and address risk.
    • Provide Physician liaison and clinical corporate client support, working closely with care managers.

    Responsibilities

    • Provide support/guidance in the review of relevant policies to conform to the quality and patient safety standards of the hospital
    • Lead the development of Policies and procedures as and where required
    • Support assigned departments in process reengineering to optimize operational efficiency and patient care
    • Guide the interpretation and implementation of developed policies and procedures in the context of the quality and patient safety framework.
    • Constantly involved in the training and communication of quality and patient safety issues and standards/best practice throughout the assigned areas.
    • Review accreditation and regulatory agencies survey /internal quality audit findings and support the development and implementation of corrective/preventive action plans to address non-compliance.
    • Directs and supports the collection, measurement and presentation of data required for monitoring and improving quality and patient safety.
    • Leads the Hospital in conducting Root Cause Analysis (RCA) for sentinel and adverse events
    • Identifies opportunities for continuous quality improvement and supports the implementation of CQI activities in assigned areas.
    • Support departmental leaders in identification of relevant utilization management indicators
    • Support departmental leaders in the collection and application of utilization management data in quality improvement activities
    • Provide timely utilization management outcome reports to the clinical director and clinical departmental leaders to facilitate utilization improvement initiatives.
    • In liaison with the clinical department support persons and departmental leaders, support the creation of wholesome QVRs that incorporate all quality indicators for the department.
    • Train departmental leaders and staff in utilization management data collection.
    • Identify gaps and challenges in timely data collection within the clinical departments and escalate to the clinical director for action.
    • Support the departments in timely updates of the QVRs as set in policy, month by month.
    • Liaise with the hospital statistician to achieve the integration of data in departmental QVRs into an institutional QVR.
    • Coordinate the clinical departments support persons under the guidance of the clinical director for clinical quality data validation.
    • Aggregation and analysis of clinical audit data
    • Continuously audit compliance with the hospital quality and safety program in assigned areas.
    • Coordinate the closure of matters arising from physician feedback for improved physician satisfaction and participation
    • Develop appropriate indicators and targets and regularly report performance.
    • Provide clinical support to Corporate clients via care managers
    • Carry out any other lawful tasks as may be assigned by Quality Director /COS from time to time. 

    Requirements

    • University degree level – preferably with a Master’s Degree, Medical/Clinical qualification preferred.
    • Health Management background would be an added advantage
    • Minimum 3 (three) years’ experience in direct and indirect clinical care activities in a healthcare institution.
    • In-depth understanding of good clinical practice requirements;
    • Have strong experience and knowledge of clinical monitoring functions with knowledge of clinical research. 
    • Excellent problem-solving skills and the ability to manage multiple tasks.
    • Excellent data analytical and presentation skills.
    • Good leadership skills.
    • Excellent communication, interpersonal and presentation skills.
    • Ability to work in multidisciplinary teams.
