    QSSK-TAC-WS-Warehouse Supervisor

    Job summary:

    Reporting to the Supply Chain Manager, the Warehouse Supervisor performs inventory control duties by receiving / releasing, inspecting, documenting, and recording all job site materials movements. The supervisor will be responsible overall warehouse operations by supervising the subcontracted warehouse Service provider to ensure compliance to all processes.

    The incumbent also orders job site materials as directed by Buyers, maintains inventory of commonly used items, ships materials to crews and works closely with internal and external customers as a customer service point. The incumbent will train and mentor warehouse assistant(s), ensure compliance with all processes, procedures and policies and ensure the security and safety of the warehouse is met at all times.

    ESSENTIAL DUTIES:

    • Purchases replacement materials as per our client’s procurement policy guidelines and procedures and as directed by the Supply Chain Manager.
    • Coordinates receiving, documentation, storage, and shipping of materials.
    • Checks freight bills and purchase orders against the physical shipment, inspects shipments to ensure all contents are contained and no damage has occurred during shipment, and contacts vendor if a discrepancy is identified.
    • Coordinates and supervise offloading of shipments.
    • Inventories receipts against purchase orders and shipping documents.  Files receipt documentation.
    • Photographs damage to materials, documents overages and shortages and tags materials with purchase orders.
    • Report all rejected purchased materials to the Supply Chain Manager and subsequently to the responsible vendor who has supplied/delivered the materials if they do not conform to the requirements as stipulated by the Purchase order.
    • Maintains a shipping / receiving log with daily entries.
    • Places materials in proper storage locations according to storage and handling lists; initiates storage change forms and documents new storage locations.
    • Advise the Supply Chain Manager of any expired/obsolete stock
    • Cleans, organizes, and maintains warehouse assuring that all inventories are stored securely and neatly placed throughout the warehouse.
    • Prepares and issues materials to authorized personnel as indicated on work orders and stores requisition form through outside logistic company vendors.
    • Writes specifications for new purchases, obtains quotes, selects best choice and obtains approval for purchases when directed by the Supply Chain Manager.
    • Transfers inventory shipments via Oracle
    • Codes inventory transfers to proper accounts or projects and tasks
    • Logs inventory receipts via Oracle
    • Manages warehouse Service provider to ensure performance meets all levels of required job performance
    • Oversees all functions of shipping, receiving, and maintaining inventory control
    • Performs weekly cycle counts and annual physical inventories to verify inventory counts
    • Supports Supply Chain manager, buyers, operations and redevelopment personnel with knowledge of inventory shipping trends and timely inventory order requisitions
    • Ensure physical count is always at par with balances in Oracle
    • Make reports as required by the Supply Chain Manager
    • Assists in training and development of new employees in various functional departments of the company, for the purpose of learning to complete the inventory order form.
    • Ensure proper and timely disposal of assets as per procedure and Policy and NEMA guidelines
    • Coordinate with the contracted warehouse personnel to identify and manage obsolete inventory.

    OTHERS DUTIES:

    SUPERVISORY RESPONSIBILITIES:

    • Supervise and manage the performance of direct reports as well as contractors and sub-contractors
    • Create strong collaborative team environment.

    QUALIFICATIONS:

    • Excellent communication (both verbal and written) skills
    • Excellent Analytical and organizational skills
    • Basic knowledge of OSHA requirements within the Construction industry.
    • Demonstrated computer proficiency including Microsoft Office Suite. Oracle is preferred.
    • Detail oriented, able to multitask and meet deadlines
    • Excellent process creation and implementation skills
    • Ability to work in a high volume time sensitive environment.
    • Strong interpersonal skills

    EDUCATIONS AND EXPERIENCE:

    • Degree on procurement and logistics
    • Partial qualification in CIPS

    QSSK-HPS-AC-Accountant

    Job Role Description

    We are looking for an Accountant to manage all financial transactions, which include but are not limited to; payroll processing, debtors, payments verification, tax, and liaising with statutory bodies and the bank.

    KEY ROLES AND RESPONSIBILITIES

    • Ensuring compliance with all tax matters, and other regulatory authorities and processing of the tax payments and returns.
    • Handling monthly, quarterly, and yearly closing
    • Ensuring accurate and timely processing of payments captured & tracked on accounting software and reporting all financial information done; weekly, monthly, quarterly, and end of the year.
    • Manage payroll, by processing salaries, ensuring payroll and tax documents are accurate, and updating payroll files.
    • Reviewing and reconciling the general ledger, identifying and thoroughly investigating any discrepancies, and taking the proper corrective actions to resolve them.
    • Maintaining a monthly listing of the accounts payable and receivables and following up on customer payments and debt collection.
    • Preparation of budget forecasts, monthly budget variance analysis, audit schedules, and supporting the organization during external audits.

    QUALIFICATIONS AND EDUCATION REQUIRED

    • Bachelor’s Degree in Accounting or a related area of study.
    • Certified Public Accountant (CPA)or ACCA.
    • Member of The Institute of Certified Public Accountants of Kenya (ICPAK) will be an added advantage
    • Minimum 3 years experience as an accountant in a busy environment.
    • Excellent knowledge of accounting procedures, principles, and reporting standards as well as creating financial statements.
    • Hands-on experience with accounting software like QuickBooks will be an added advantage
    • Proficiency in MS Excel skills including pivot tables and VLOOKUP’s
    • Experience with general ledger functions and the end-of-the-month or end-of-the-year close process.

    QSSK-LK-CFO- Chief Financial Officer

    Job summary:

    Reporting to Chief Executive Officer & Managing Director, this role is responsible for the East Africa business including Tanzania, Uganda, Rwanda & Kenya.

    The incumbent is responsible for:

    • The long-term financial health and growth of the company
    • Ensuring regulatory compliance all financial aspects of the business
    • Collating, implementing, and managing strategies in line with the company’s vision with the aim of increasing revenue, achieving maximisation of profits and return on investment across the region through prudent fiscal management and efficient use of resources.
    • Contributing as a member of the regional/senior management team with regards to planning processes for budgets, staffing and operational matters in support of the achievement of organisational strategy and objectives.
    • Overseeing the day-to-day management of finance and accounts department, and supports administrative functions to fulfil organisational objectives, achieving specific goals, and maximising profit and efficiency.

    DUTIES & RESPONSIBILITIES:

    Working alongside a business’ MD /CEO, the CFO will be required to be exceptional accountant and hands-on with company finances as well as be commercially aware, advising on the best path of growth for the business.

    The incumbent will be required to perform the below duties:

    Forecasting & Budgeting

    • Prepare Group financial and operational forecasts on regular basis and report on actual performance versus forecasts
    • Undertake interpretation and presentation of financial reports in order to monitor work and performance status as well as determine expenditure trends of the organization and provide inputs into strategic planning of the organisation.
    • Lead in the preparation of annual budget in line with the expectations and strategies of the Group

    • Communicate and ensure implementation of working instructions, standard operating procedures and operational standards (including LEAN principles) with regard to all finance and accounting processes and practices in support of the achievement of organisational strategy and objectives.

    Analysis and Reporting

    • Ensure monthly management reports are produced with acceptable accuracy as per tight reporting deadlines
    • Use data analysis to strategically forecast financial trends
    • Ensure collaboration/interface with other departments on financial assessment of projects, business models and business plans.
    • Provide broad guidelines for the management of Group fixed assets from an accounting perspective, ensuring that organisational policies with respect to accounting for fixed assets are adhered to at all times

    Working Capital Management

    • Manage the Group’s cash-flow by ensuring strict adherence of credit terms to customers to enhance collection of debts and settle all liabilities on time
    • Managing transactional team and overseeing/reviewing sales ledger, purchase ledger, payroll, cash posting and all general ledger entries.
    • Define and document Group’s credit guidelines, policies and procedures ensuring inculcation of best practices and ensure adequate monitoring and management of credit exposure.

    Tax & Audit

    • Oversee and drive preparation processes for annual audits pertaining to financial processes once the financial year is over, in accordance with agreed plans and timeframes.
    • Handling VAT, PAYE and Tax duties, including corporation tax.
    • Identify and mitigate tax risks
    • Manage and coordinate tax audits
    • Facilitate and manage the preparation and review company federal tax returns and the accurate, timely filing of all tax forms.

    Internal Control

    • Develop, implement and continuously review internal controls, policies and procedures in the management and operations of the company in relation to the finance and accounting functions
    • Manage the annual audit of the Group to ensure statutory deadlines are met with ease
    • Oversee and drive preparation processes for annual audits pertaining to financial processes once the financial year is over, in accordance with agreed plans and timeframes.

    EDUCATION & QUALIFICATIONS

    • B Com. Finance or related field from a recognized University
    • (MBA will be an added advantage)
    • Must possess CPA (K) or ACCA qualification

    REQUIRED EXPERIENCE

    • At least 10 years’ experience in the finance and accounting field, of which 5 years must be in senior management position (audit experience will be an advantage)
    • Experience in managing a diverse workforce
    • Experience in the regional market and working in a multinational organization is an added advantage
