    Project Accountant

    Key Responsibilities / Duties/ Tasks

    Responsibilities

    • Support project teams during the grant proposal budgets and annual budgeting process ensuring the budgeted line items align to the project budgets for specific years and they are accurately mapped to communicate seamlessly
    • Monitoring project funds expenditure and proposing/ preparing budget amendments.
    • Ensure all program activities are running within the funder compliance guidelines.
    • Create projects in the ERP system ensuring they are adequately mapped per our statutory reporting and donor reporting requirements
    • Prepare monthly project reports, BVAs, and follow up with the implementing project leads for courses of action and explanations of variances
    • Conduct trainings for programs teams ensuring they fully understand the project budget lines and the documentation requirements for each
    • Prepare donor financial reports according to individual donors’ requirements and reporting templates
    • Develop cash forecast for projects and support in processing projects disbursements
    • Be key point person during projects’ financial Audits
    • Review staff advances and reimbursement in line with organisation’s policies and follow up for full accounting of staff advances
    • Support other finance functions e.g. statutory reporting, payables management, treasury management, budgeting, budget uploads etc. as may be called upon to support.

    Academic Qualifications

    • Bachelor’s Degree in Commerce or Business Administration, Finance/Accounting Option or any other related field

    Professional Qualifications

    • CPA (K)/ ACCA or equivalent

    • Experience working with an ERP system preferably SAP
    • Proficiency in the full Microsoft Office Suite

    Senior MEL Officer

    Key Responsibilities / Duties/ Tasks

    Responsibilities

    MEL Management (65%)

    • Work with Program teams to integrate MEL into ongoing program planning and implementation activities.
    • Work with program teams to streamline their data systems, define key indicators, and ensure seamless, timely, high-quality data including refinement and development of data collection instruments.
    • Coordinate with program teams to review indicator updates on a monthly basis.  Generate data reports (tables/graphs/reports) from the program databases at regular intervals, ensuring reports/information are available for program implementation staff as required. Facilitate data analysis with program implementation team as requested.
    • Lead the execution of diverse data and evidence activities, including baselines, routine monitoring, evidence reviews, analyses, and one-off evaluations. Ensure successful data collection, analysis, and reporting to drive better program decisions and impact.
    • Directly manage MEL coordinators responsible field based activities for different programs.
    • Contribute to ongoing MEL-related professional development for MEL and build the capacity of all relevant team members to develop and maintain a robust MEL system

    Reporting, Communications and Fundraising Support (15%)

    • Develop and adapt monthly, quarterly, bi-annual and annual reporting tools and provide support to MEL Coordinators to use the reporting templates.
    • Support creation of draft monthly, quarterly, bi-annual and annual reports as needed and upon request by MEL Manager, Impact and Learning Manager and the Advancement team.
    • Manage relationships with partners as requested
    • Represent SHOFCO in Partnership meetings as requested

    Information Management (15%)

    • Enhance monitoring of program outputs and quality, generate quality evidence on program impact and promote and ensure use of data for decision-making processes.
    • Support program teams use of CommCare and other MIS systems for program management and reporting.
    • Provide assistance for integration of forms and surveys into CommCare
    • Assist in creation and management of MEL information storage systems and ensure MEL data is backed-up on an ongoing basis

    Administration (5%)

    • Provide management oversight and leadership, as requested by, and in collaboration
      with, the MEL Manager and Impact and Learning Director.
    • Participate in and contribute to internal and external mid-management meetings when applicable
    • Support general operations as needed including review and approval of field based CIFF / Mastercard MEL activities.
    • Safeguarding is all staff’s responsibility at SHOFCO. The Senior MEL officer is expected to escalate any safeguarding issues identified to the People and Culture and/or Safeguarding department.

    Job Competencies (Knowledge, Experience and Attributes / Skills).

    Academic Qualifications

    • Minimum of 4 years professional experience in high-quality professional roles, with at least 2 years in a leadership role involving MEL or data and evidence broadly.
    • Expertise with selected data analysis and visualization tools e.g PowerBI; ability to execute high-quality analysis and visualizations independently.
    • Bachelor’s degree required.
    • Proven success in designing, implementing, and operating data systems for Education, WASH and GBV programs.

    Reporting: This position reports to the Senior MEL Manager/Data Manager with a dotted line to the Impact, Partnership and Learning Director

    M&E Coordinator

    Key Responsibilities / Duties/ Tasks

    Responsibilities

    • Support monitoring activities for assigned programs/projects
    • Develop and implement M&E plans and Frameworks as well as data collection tools for new /continuing programs/projects.
    • Support the Impact & Learning Manager in developing/strengthening the M&E system towards effective performance.
    • Proactively identify key program learning areas for evaluation
    • Conducting routine data quality audits and or onsite data Verification on programs planned activities to ensure data integrity
    • Conduct data analysis (qualitative & quantitative) and update program dashboards and periodic reporting templates
    • Coordinate effective program feedback loop in order for findings to improve the quality of project outcomes
    • Strengthen the capacity of the M&E team by identifying and facilitating training opportunities that increase the team’s competence on issues M&E.
    • Support Impact & Learning manager in conducting program/project evaluations, such as surveys, focus group discussions, interviews and case studies as need be.
    • Compile various periodic program/project reports for internal and external audiences.
    • Support the Impact & Learning Manager in responding to Senior Management or beneficiary data queries in an accurate and timely manner.
    • Conducting PMS reviews to the Data Assistants
    • Any other duty assigned in support of M&E activities
