    Quotations Assistant

    KEY DUTIES & RESPONSIBILITIES
    Operations

    • Assist in quotation processing.
    • Check prices on dashboard, quote the items for non-stock get prices from the suppliers to coincide with SOPs.
    • Check previous quotes for similar item, reduce or maintain prices depending on the buying trends.
    • Follow up with customer orders and follow up on the Goods until they are handed over to the Kits Store.
    • Process LPOs in the system and order for non-available goods.
    • Assist the Quotations Manager to manage the Quotations / sales administration function, operational performance reporting, streamlining processes and systems wherever possible, maximizing business relationships and creating an environment where customer service can flourish.
    • Implement and follow all approved Standard Operating Procedures and all defined policies of the company as pet the Quality Management System.
    • Ensure efficient communication and follow up with issues raised that require coordination by engaging actively with the Head of Department/ Manger and the staff of Harleys Limited.
    • Ensure upon receipt of the Purchase Order, these are given priority, punched in and the items outstanding or not available communicated to the Purchasing Department.
    • Ensure all the Sales Enquires and Requests for quotations forwarded by the manager are printed and quoted before deadlines.
    • Reporting
    • Submit quotes and ensure customer needs are catered for in regard to format, currency, tax.
    • Ensure efficient communication and follow up with issues raised that require coordination by engaging actively with the various 3rd Parties, the team members, Head of Department / Manager and Harleys Limited.

    Qualifications, Skills and other prerequisites
    Qualifications

    • Diploma/bachelor’s degree related course.
    • 2-3 years of experience in the same field.
    • Should have a pharmacy background.
    • Ready and willing to work from the field.
    • Ready to go extra mile for their work.

    Experience

    • Solid knowledge of quotation work.
    • Knowledge of systems i.e., SAP, Sage
    • Technical Knowledge & Skills
    • Excellent analytical and problem-solving skills.
    • High level of confidentiality skills.
    • Computer literate – strong knowledge of MS Office tools and ability to learn new applications.
    • Excellent writing, communication, and presentation skills.
    • Special Requirement
    • Experience in healthcare operations is preferable
