    Assistant Stores Supervisor

    Job purpose:

    • Provide support to stores to ensure effective stores operations and stand in during Supervisor absence.

    Key responsibilities and accountabilities:

    • Assist the supervisor to ensure all stores S.O.P are adhered to.
    • Personally involved in stores deliveries and dispatches.
    • Control stores entrance and exits points.
    • Participate in all stock’s audits/inspections.

    If standing in for Stores supervisor responsibilities are:

    • Raise purchasing requirements with the Director, order goods for authorised requisitions, get quotations approvals by Director, generate LPOs/procure cash, and follow -up with Supplier for deliveries.
    • Responsible for receipt of all ordered goods, verifying them, generating same day GRN/GI, signing off the delivery documents /invoices and forward them to the Director for approval. Handle goods returns. Create part numbers as guided.
    • Track stocks movements to ensure agreed minimum stocks levels are maintained and timely raise purchasing requirements with the Director taking note of the thresholds.
    • Ensure stock transfers are updated on the system and follow up to ensure proper receipt.
    • Update all stocks in the system. Ensure stocks are issued as per approved job orders, using the ERP system and physically.
    • Organise the stores items for ease of trace. Ensure the stores are well locked and items are in the required condition. Alert your Superior of any stores items that become obsolete/expires.
    • Question any variance in stocks records.
    • Proper keeping of all store’s transactional records both in hard and soft forms. Updating the ERP system on the inventory module. Generate required reports such as monthly stocks check, consumables/Stocks.
    • Generate delivery notes and organise for all dispatches both Local and exports.
    • Participate in the scheduled stocks take exercise and making spot checks.
    • When required, provide advice to sales staff or customer on parts specifications.
    • Allocate staff duties, monitor their performance, and raise any disciplinary issue with the Management.
    • Implement company policies, procedures, processes, and practises as instructed for the stores department.
    • Undertake other duties as may be assigned by the Management.

    Job position requirement:

    • Highly organized, attention to details and keen tracking of issues. Timely raising issues with Management.
    • Good supervisory skills to work with subordinates.
    • Ability to meet deadlines with timely updates on progress.
    • Diploma in stores keeping or related studies.
    • Over 3 years work experience as stores Supervisor or senior stores clerk in automotive engineering/metal parts manufacturing /auto spares sales.
    • A trustworthy person with clean record. Kenya D.C. I police clearance certificate will be required.
    • Excellent computer usage competency in ERP system and Microsoft office programs.

    Branch Manager

    Job purpose: 

    • The purpose of the role is to manage the company branch (at any location) to achieve growth and profitability through operations, sales, and business development activities management in liaison with other functional departments at the Head office.

    Key responsibilities and accountabilities: 
    General administration:

    • Monitor performance of all branch employees. Manage daily attendance including leave scheduling.
    • Enforce company policies, procedures, processes, and rules at the branch.
    • Safeguard all company assets including IT infrastructure, raising any repairs, maintenance, and replacement requirements.
    • Ensure all required regulatory licences /permits for the branch are validly in place.
    • Share any competitor’s intelligence in the region the branch is located.
    • Provide reports required by Management.

    Sales/Marketing :

    • Achieving growth by hitting individual sales targets and by managing sales team to achieve their target/s for branch performance.
    • Ensure all sales administration processes e.g., quotations, invoicing, deliveries etc. at the branch are dealt with promptly.
    • Share monthly sales forecasts report for the branch.
    • Monitor and control all sales debts at the branch.
    • Raise any customer services issues and any need for products/ services development with Sales/Marketing Manager.

    Workshop floor operations:

    • Generate job cards, allocate duties to mechanics ensuring job timelines and work quality is met. Ensure timely closure of jobs for invoicing.
    • Monitor operations processes to ensure efficiency of work processes.

    Stores Management:

    • Coordinate stocks transfers, monitor proper and timely recording on Mars system and any physical records.
    • Participate in stocks audits, monitor stock levels and physical stocks custody.

    HR :

    • Coordinate HR activities at the branch. Raise any staff recruitment need, training need, performance management, disciplinary issues with the Managing Director in liaison with HR Manager.
    • Coordinate health and safety matters at the branch.
    • Ensure smooth office operations with timely opening/closing of the branch and procurement of all needed supplies.
    • Monitor branch contractors such as security services.
    • Facilitate major communication between the branch and other company areas.

    Finance:

    • Ensure debts collection updates weekly report is sent to Head office.
    • Ensure daily accounting activities related to invoicing, cash receipts and banking are dealt with and required records are available.
    • Timely raise any financial requirements with head office ensuring all expenditures are duly and properly supported and are for company use only. 
    • Provide input for the branch annual budget.
    • Provide any end month payroll input information required from the branch.
    • Plus, any additional responsibilities as may be formally assigned by Managing Director/C.E.O.

    Job position requirement:

    • Diploma/bachelor’s degree in automotive engineering /sales & marketing/Business management with over 3 years managerial experience preferably in the same position in the automotive engineering sector.
    • Good knowledge of company products /services, processes and procedures and business operating environment.
    • Ability to work in a matrix organization structure with direct and dotted reporting lines.
    • Excellent team management and leadership.
    • A person of integrity to avoid any conflict-of-interests, unethical business/personal conduct, and other related vices/misconducts.
    • A trustworthy person with clean record. Kenya D.C. I police clearance certificate will be required.
