    Executive Assistant to the CEO

    Role summary

    Based on the Conservancy in Kenya, the successful candidate will provide full executive support to the CEO in diary management, administration and meeting preparation and working on specific projects and research as required.

    This role main responsibilities include to: -

    •  Coordinate and oversee administrative support for the CEO to ensure deliberate, seamless and orderly day-to-day operation.
    •  Read and screen incoming correspondence and reports, handle some matters personally and forward the relevant ones to the CEO for advice and action.
    •  Schedule meetings; draft agendas; set up reminders; develop, compile, and distribute presentation materials; and record meeting minutes.
    •  Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
    •  Manage and maintain the CEO’s diary and ensure that the CEO is fully prepared for all meetings and engagements with relevant briefing notes.
    •  Schedule meetings between the CEO and their direct reports on a monthly basis.
    •  Manage the process from “start to finish” of obtaining briefings and papers (as required) from the Leadership Team on behalf of the CEO, to ensure that they are fully prepared for all engagements.
    •  Undertake desktop research as necessary to support the CEO’s preparation for meetings and presentations.
    •  Keep and maintain an accurate record of papers and electronic correspondence on behalf of the CEO.
    •  Carry out all the duties with complete discretion and a high regard for confidentiality.
    •  Carry out any other duties that may be assigned from time to time.

    Education, qualifications, essential skills, knowledge, and experience

    •  Bachelor’s degree or Diploma in a business-related field.
    •  Minimum 5 years’ experience of working as a Personal or Executive Assistant.
    •  Experience in shorthand minute taking
    •  Experience of working with a Board

    Skills

    •  Strong literacy and verbal reasoning and proficient computer skills, including
    •  Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling  appointments/updating calendars.

    Programme Funding Manager

    Role summary

    Based on the Conservancy in Kenya, and reporting to the Programme Funding Director, the successful candidate will be responsible for leading Ol Pejeta’s programme fundraising by identifying new donors, building relationships with new and existing donors, and developing high quality prospecting / pitch materials and proposals. Securing unrestricted / core cost / CAPEX funding from Trusts and Foundations, Institutions and Corporate partners will be a priority for this role.

    Responsibilities focus on pipeline & proposal development and include:

    •  Support the development of a methodology for donor mapping.
    •  Implement that methodology to regularly map funding opportunities that align with Ol Pejeta’s programmes, ensuring a steady pipeline of fundraising opportunities.
    •  Develop an approach to categorize donors based on factors that might influence Ol Pejeta’s approach to seeking funding.
    •  Lead annual network mapping exercises to identify connections that might be leveraged as part of a funding approach.
    •  Identify networks / platforms used by trusts, foundations, corporate and institutional donors that Ol Pejeta might be able to join or engage with, to raise our visibility among these donor groups.
    •  Develop a strategy for targeting organisational donors that effectively communicates our work, our funding needs / “ask”, maximizing our chances of securing funding / donations.
    •  Develop and regularly update short project briefs / concepts to be shared with prospective donors.
    •  Work in collaboration with the rest of the Programme Funding team to deliver quality proposals that secure multi-year funding for Ol Pejeta.
    •  Identify and cultivate new partnerships that position Ol Pejeta for new funding opportunities, either as the lead, or a partner within consortium bids.
    •  Support the management of existing partnerships to identify new opportunities for collaboration, ensuring the best interests of Ol Pejeta are always represented.
    •  Monitor compliance with grant terms and conditions.

    Education and qualifications

    •  Bachelor’s degree or similar qualification in Conservation, Natural Resource Management or related discipline.
    •  Excellent verbal and written communication with fluency in English.

    Essential skills, knowledge, and experience

    •  Demonstrable experience raising funds (>US$1m per year) from a wide range of donors, including Trusts and Foundations, Corporates, and government donors such as USAID, EU etc.
    •  Experience of raising funds for conservation activities in East Africa (Kenya preferred).
    •  Extensive working knowledge of both Microsoft 365 and Google productivity apps.
    •  Excellent writing and presentation skills.
    •  Experience of budget design and management.
    •  Excellent planning, coordination and reporting skills with demonstrated ability to work under pressure and to tight deadlines.
    •  Strong interpersonal skills, including ability to communicate with a wide range of stakeholders.
    •  Ability to develop and sustain strong working relationships.
    •  Self-motivated, independent and resourceful.
    •  Adept at prioritising needs, you are happy taking the initiative to get things done and thrive in a busy environment.
    •  A ‘can-do’ and agile attitude, ability to problem solve and adaptive thinking.

    Desirable skills, knowledge, and experience

    •  Master’s degree is an advantage.
    •  Knowledge of conservation activities in Kenya / East Africa.
    •  Project management qualification.

    Internal Auditor

    Role summary

    Based on the Conservancy in Kenya, the successful candidate will be responsible for the day-to-day engagement, management and execution of the Conservancy’s audit function. The internal audits will be designed to identify risks to achieving the Conservancy’s strategic, operational, reporting and compliance objectives; assess the adequacy of internal controls to mitigate identified risks; assess the effectiveness and efficiency of the Conservancy’s operations. The position will provide two core services: enterprise risk management, and internal audit.

    This position will report to the Audit Risk and Compliance Committee of Board and is a key member of the Senior Leadership team at OPC.

    This role main responsibilities include: -

    •  Formulate, develop and implement risk management strategies and annual audit plans;
    •  Evaluates the adequacy of system design, risk management and internal control framework in meeting business, operational and control objectives;
    •  Performing Risk Assessment tailored to each area under review necessary for the identification, analysis and evaluation of areas of significant weaknesses.
    •  Prepare an annual risk-based audit plan for approval by the Board Audit Committee and ensure its timely execution and continuous monitoring having due regard to the relative risk profile and the cost of resources.
    •  Preparing written reports to the Board’s Audit Committee detailing identified key control points and weaknesses in the system or function being audited and providing innovative and creative recommendations for correcting unsatisfactory conditions and improving operations.
    •  Develop, review and appraise the soundness, adequacy, application and efficiency of accounting, financial, business-process and other operating controls established to mitigate potential risks and/ or detect their occurrence.
    •  Assess the adequacy and effectiveness of the systems of internal controls, the compliance to laws and regulations, and the reliability of management information utilized in decision making.
    •  Periodically reporting to the Board Audit Committee on significant issues related to the Conservancy’s risk management, control and governance processes and related management action plans.
    •  Following up audit recommendations to ensure timely implementation/action and mitigation of identified risks
    •  Collaborate with cross-functional teams to implement audit recommendations and monitor progress.
    •  Stay abreast of industry trends, regulatory requirements, and best practices in internal auditing.
    •  Provide guidance and support to management and staff on internal control issues and risk mitigation strategies.
    •  Preparation and presentation of standard monthly and periodic audit reports
    •  Undertakes any other duties as may be assigned from time to time.

    Education, qualifications, essential skills, knowledge, and experience

    •  Bachelor's degree in Accounting, Finance, Commerce, Actuarial Science, BBIT or BSC (Computer Sc);
    •  CPA (K), ACCA or Chartered Accountant Certified Internal Auditor (CIA);
    •  Auditing experience of not less than 7 years either in an audit firm or in reputable industry;
    •  Possess excellent report writing, oral communication, logical, problem solving and analytical skills;
    •  Working knowledge of computer assisted audit techniques, data analytics and Teammate and accounting systems;
    •  Experience in auditing information systems, Resource Planning systems and digital business processes will be an added advantage.
    •  Experience in operational, performance and risk-based audits
