    Operations Manager

    Duties and Responsibilities

    • Support project operations and project management
    • Find, prepare, and submit competitive tenders
    • Scrutinize and review tender drawings/documents for clarity and accuracy
    • Analyse and compare quotations received at bid stage
    • On-board new clients and receive initial client briefing
    • Prepare bills of quantities, perform cost pricing and cost analysis
    • Make site visits to take measurements, monitor progress and project cashflows
    • Analyse and recommend subcontractor payments
    • Check and review the site requisitions and compare them with the approved BoQ
    • Generate cash flow projections for projects, manage the cash flow and monitor the costs
    • Coordinate procurement process including finding and managing vendors and suppliers
    • Submit and negotiate contract variations and additional works
    • Oversee the procurement process of materials, machinery, and equipment
    • Understand and assess the implications of health and safety regulations
    • Facilitate contractual and legal compliance
    • Follow up on payments and manage client relations
    • Perform day-to-day general administrative duties and support the implementation of HR policies.

    Person’s Requirements

    • Must have at least 4 years of work experience in an Interior design company
    • Must have experience undertaking interior fit-out projects
    • Experience managing construction projects with an emphasis on interior fit-out
    • Exposure in project financing
    • Minimum Diploma in Quantity Surveying and Minimum 4 years’ experience in quantity surveying
    • Has experience preparing Bills of Quantities (BoQ).
    • ArchiCAD/AutoCAD quantity take-off experience
    • Possess good leadership ability, as well as the ability to work as part of a team.
    • Very strong client relationship management skills
    • Well experienced in managing procurement processes and vendor management
    • Multi-skilled, self-motivated, energetic, able to work well under pressure
    • Very keen attention to detail
    • Strong organizational, problem-solving and analytical skills
    • Strong interpersonal, managerial and presentation skills

    Project Manager (Interior Design)

    Duties and Responsibilities

    • Project Mobilization- prepare project schedules, mobilize and allocate resources
    • Have oversight over all projects-ensure projects are delivered within the required timelines and budget
    • Manage project expenses-develop and implement cost savings measures
    • Check for any errors, discrepancies or omissions in the design drawings and ensure they are rectified.
    • Manage and lead the project team reporting to them, training and mentoring new site teams
    • Ensure the site has relevant site documents before fit-out commences
    • Attend site and project meetings, address issues raised, take and maintain minutes
    • Prepare and submit weekly and monthly reports on project status
    • Be in charge of quality assurance of all fit-out projects -ensure that standards and specifications are met
    • In liaison with the Operations Manager negotiate and manage contracts with subcontractors and technicians as per project budget and labour schedules
    • Ensure that all company assets are tagged, tracked, properly maintained and managed
    • Prepare and submit weekly wage schedules for workers’ payments
    • Monitor and ensure that Site Safety Rules and Regulations are displayed on site and adhered to
    • Regularly train employees on Health and Safety Requirements and ensure they work in protective gear
    • Manage the handover of a new facility to a client, prepare and issue the Client with a maintenance manual for the facility
    • Conduct Regular research on best practices in the industry and recommend improvements
    • Refine already existing departmental policies, procedures and strategies
    • Maintain good relationships with clients and vendors
    • Identify new business opportunities

    Person’s Specifications

    • At least 5 years of work experience in construction project management with an emphasis on Interior design
    • Has experience and skill in project budgeting and resource management
    • Holds a Bachelor’s Degree or Diploma in Construction or Project Management
    • Proficient in Archi-CAD / AutoCAD and Ms Office Programs
    • A highly proactive individual, possessing risk management skills
    • Ability to lead and manage a diverse team
    • Possess and upholds high standards of integrity.
    • Ability to multitask, manage time and work without supervision.
    • Creative with an eye for detail, able to creatively solve problems
    • Possess exceptional communication, Interpersonal, Customer Service and presentation skills

    Operations & Admin (Intern)

    Responsibilities

    • Provide assistance and support to the CEO in project planning and management

    Key Responsibilities

    Accountant

    Duties and Responsibilities

    • Maintain financial accounting systems for cash management, general ledger, accounts payable, accounts receivable, payroll, petty cash, invoicing etc
    • Ensure that all financial transactions are processed timely and accurately
    • Perform daily, monthly, quarterly and annual reconciliations of entity transactions
    • Maintain accurate and up-to-date company books and financial records
    • Ensure accurate and timely financial reporting for decision making
    • Establish and implement internal control systems and procedures to ensure prudent use of financial resources
    • Maintain robust cash handling and banking procedures
    • Managing the collection of all payments and debts
    • Responsible for cash flow management and credit control
    • In charge of payroll processing
    • File tax returns and ensure full compliance with all statutory requirements
    • Coordinate the budget preparation process and enforce budget control measures
    • Review operational costs and capital expenditure to ensure they remain within acceptable limits
    • Facilitate and support audits.

    Person’s Specifications

    • At least 3years work experience as an accountant – mandatory
    • At least CPA Part 3 with a Bachelor of Commerce degree or equivalent
    • Able to demonstrate good financial accounting skills
    • Experience with accounting software and competent in MS Office Skills
    • Must have a good grasp of the returns process
    • Possess good communication skills and is a strong team player
    • Capable of working- under extreme pressure and meet tight deadlines
    • Ability to build stakeholder relationships
    • Must have very keen attention to detail
