    Senior Archives & Records Manager

    Job Purpose

    Primarily be responsible for planning and coordinating Records Management & Archives Administration procedures, policies, systems and devising ways to streamline Archiving processes. Goal is to ensure all Archives support activities are carried out efficiently and effectively.

    Key responsibilities

    Governance

    • Compliance with all statutory & regulatory requirements.
    • Satisfactory Audit ratings & Closure of All audit issues.
    • Identification of Risks and sign off of the Risk Register and monitoring to ensure closure/Mitigation actions are updated.
    • Support in reviewing and filing of department monthly RCSA (Risk control self-assessment).
    • Has overall responsibility for setting appropriate records management policies and procedures.
    • Monitors, measures, and reports on compliance with records management policies and procedures across the Bank.
    • Ensures all staff in the Bank are sensitized on records management policies and procedures.

    Financial/Planning & Budget Management

    • Departmental annual budgeting, monitoring and controlling.
    • Set clear and well-defined actions to achieve set budget savings in all expense lines.

    Archives performance Management & Reporting

    • Leads the Archives & Records Management department members to develop records management functions within the Bank.
    • Coordinate Records acquisitions & transfers from Business units within SLA.
    • Ensure prompt KYC monthly filing under the real time archiving model.
    • Coordinate Document Retrieval Incidences handling; Success rate and turnaround time as per SLA.
    • Ensure prompt Records disposal in line with approved retention schedules.
    • Space Optimization - Maintain 10% archival space availability.
    • Coordinate branch Outreach, Training and Awareness.
    • Improve department quarterly NPS score.
    • Coordinate EDRMS roll out.
    • Provide oversight for effective and efficient running of the department.
    • Drive department strategy within the wider corporate framework.
    • Identify and provide optimum records management resources.
    • Drive the banks transition to electronic records management systems.
    • Provide weekly monthly quarterly & annual reports as required.

    Qualifications

    • Academic Qualifications: Bachelor’s degree in Information Sciences with a bias in Archives & Records management 
    • Desired work experience: Minimum of 5 - 10 years proven experience in a similar role

    Technical Competencies:

    • A good understanding of development and management of Records Management Systems and Archives Administration techniques
    • Knowledge and experience in modern trends in Archives and Records Management programs and systems
    • Understanding of the safety and health regulations and applications at the work place
    • Knowledge and effective application of all relevant policies, processes, procedures and guidelines to consistently achieve set compliance levels.
    • Good knowledge of Records standards or benchmarks.

    Senior Business Architect

    Description

    • The senior business architect will be responsible for execution of tasks that deliver critical business architecture artefacts. You will link the organization’s strategic intent and execution by designing, developing, maintaining or contributing to key deliverables like business capability maps, value streams models, operating and processes model analysis, business entities and organization mapping, systems mapping and system footprint analysis among others.
    • You will design, document, and maintain the bank's business architecture which will provide an integrated view of the organization using a repeatable approach, consistent framework, and updated tools and techniques. You will work closely with business units & product teams to understand their requirements and architect solutions with them. You will also collaborate with various stakeholders such as IT architects, solution architects, business analysts among others, to ensure alignment between business and technology architectures. 

    Responsibilities:

    • Document frameworks, methodologies, and standards to guide the development and maintenance of business architecture artifacts.
    • Develop and implement the business architecture strategy necessary to support business transformation initiatives.
    • Continuous assessment of the Equity Group Holdings (EGH) strategic goals and objectives to ensure that the business architecture supports and enables their achievement.
    • Scrutinize various business cases to deduce business scenarios, establish their motivation and alignment to the strategic intent of EGH.
    • Review current business processes, identify and document gaps, opportunities, and improvement areas to support the EGH strategy.
    • Review current business capabilities and value streams, identify and document gaps, opportunities, and improvement areas to support the EGH strategy.
    • Review technology landscapes that support business, identify and document gaps, opportunities, and improvement areas to support the EGH strategy.
    • Review business information that is shared across EGH entities, identify and document the inter-relations, gaps, opportunities and improvement areas to support the EGH strategy.
    • Monitor industry trends, emerging technologies, and best practices which EGH can leverage on to devise business plans that yields innovation and optimization within the business architecture. 

    Qualifications

    • Bachelors in business administration, Information Systems, or a related field. An MBA or relevant certifications e.g., TOGAF, BCS, CBAP, Lean Six Sigma are a plus.
    • At least 3 years of experience in business architecture or a related field, working in a large organization having actively participated in business architecture, digitization or business transformation initiatives.
    • Knowledge of business architecture frameworks, methodologies, and tools.
    • Strategic thinking and problem-solving skills, with the ability to translate business strategies into actionable business architecture roadmaps.
    • Excellent communication and interpersonal skills, with the ability to effectively collaborate with diverse stakeholders in the organization.
    • Good grasp of emerging technologies, industry trends, and best practices in business architecture.
