Job purpose
The job holder is responsible for administration and management of staff loans, meal, overtime and laundry allowances, in line with the relevant legislation and policies as well review and approve staff personal loan applications.
Key Responsibilities/ Duties / Tasks
Managerial / Supervisory Responsibilities
- Manage payroll workload to meet operational requirements.
- Monitor the accurate processing of the payroll in relation to staff appointments, transfers, promotions and terminations.
- Oversee the maintenance of current employee data systems.
- Prepare relevant weekly, monthly, quarterly and year-end reports.
- Oversee compliance with statutory reporting and filing requirements
Operational Responsibilities / Tasks
- Ensure payroll is processed in an accurate, compliant and timely manner.
- Direct the preparation of payroll related documents.
- Compile data from payroll sources.
- Prepare and review payroll account reconciliations.
- Maintain accurate account balances.
- Review and improve payroll policies and procedures.
- Ensure all payroll information and records are maintained in accordance with statutory requirements.
- Support all internal and external audits related to payroll.
- Process payroll checks for executive staff.
- Interpret new legislation impacting payroll.
- Manage and resolve issues relating to payroll production.
- Maintain employee confidence and protects payroll operations by keeping information confidential.
- Complete operational requirements by scheduling and assigning employees; following up on work results.
- Facilitate implementation of the work plans for the following corporate initiatives in the unit: Audit, Integrity, QMS and Risk Management.
- Drive initiatives to improve ethics, culture and facilitate change management in the unit.

Academic qualifications
- A degree in Human Resource Management or related field from a recognized institution.
Professional Qualifications / Membership to professional bodies
- Diploma in HR/Post graduate Diploma in HR/ Certified Human Resource Professional (CHRP)
- Membership to a Professional Body – IHRM
Previous relevant work experience required.
- Minimum of 4 years work experience with at least 1 year in a supervisory role.
