    Depot Manager -Central

    Duties & Responsibilities

    Stocks

    • Ensure daily stocks reconciliation is done on a daily basis. Review the reconciliations and report on the same on a weekly basis
    • Develop and maintain Standard Stocks per brand at all times.
    • Perform ad hoc stock takes at least thrice a week and report on the same.
    • Ensure no stock losses through pilferage or expiry.

    Staff Issues

    • Agree staffing levels with HR – Quarterly
    • Agree staff training gaps with the HR- Quarterly
    • Ensure staff are trained to close training gaps- Continuously
    • Agree key Deliverables with all staff- Annually
    • Review staff performance- Quarterly
    • Agree and Review staff leave schedules with HR – Quarterly
    • Ensure job descriptions for all staff is followed- Continuously
    • Induct new employees
    • Give directions to the staff on any issue concerning them in coordination with the head office.
    • Ensure EABL recommended system is adhered to i.e. visual board, Occurrence book

    Finance

    • Ensure the Sales & Banking reconciliation is done on a daily basis.
    • Create a budget for the depot for each financial year
    • Ensure nil bad debts
    • Manage the daily sales
    • Reconcile sorties on a daily basis
    • Sort the M-PESA and Equity machines hitches
    • Minimize operational costs
    • Manage the petty cash
    • Ensure proper banking and reconciliation done daily
    • Monitor and reconcile free issues

    Security

    • Review of CCTV surveillance and ensuring all alarms and security systems are functional.
    • Ensure all premises (depots) are well manned by the guards
    • Ensure the business licenses are updated
    • Ensure company data or information is confidentially maintained.
    • Ensure safe custody of company assets i.e. furniture, books stocks, electronics, vehicles.

    Fleet Management

    • Prepare fleet maintenance schedule.
    • Ensure proper fueling i.e. consistent for all vehicles (Zero pilferage rule)
    • Ensure all insurance and inspection requirements for vehicles are updated.
    • Report any major malfunctions timely.
    • Supervise any vehicle repairs and maintenance.
    • Agree with the drivers’ fleet maintenance standards.
    • Review the Fleet Occurrence Book weekly and provide a report

    Sales

    • The Sales Manager will be reporting to you.
    • Ensure the Sales Manager performs the below roles:
    • Reviewing Journey plan with Sales Manager –Quarterly
    • Reviewing DSR to ensure adherence to JP – Daily
    • Sharing route targets with sales team – Monthly
    • Reviewing sales Targets-Weekly
    • Route accompaniment reports – Weekly

    Gold Standard

    • As Depot Manager, you should ensure that the entire business is Gold Standard. You are required to do an audit of the gold standards on a monthly basis.
    • A report of the same should be presented

    Qualifications & Requirements

    • Degree in a Finance or related course
    • CPA qualification with accounting work experience
    • Commercial experience gained in the FMCG Industry with a good track record of performance
    • Excellent communication skills (Verbal and Written) coupled with good interpersonal skills
    • Ability to build and maintain good customer relationships.
    • Ability to motivate and inspire a team to achieve excellence in all areas
    • Excellent organizational and time management skills

    TVET Engagement Manager

    Duties and responsibilities

    • Develop an engagement strategy: Design and develop a comprehensive engagement strategy and lead the development, implementation, and reporting of TVET Institution’s activities and alignment with the organization’s strategic plan.
    • Collaborate with Stakeholders: Collaborate and build strong relationships with relevant stakeholders for the Institutions. Establish and/or maintain relations with other Training collaborators including Universities, Colleges, and Technical and Vocational institutions, and build/maintain a database of these key stakeholders in the sector in an effort to create a pool for Program stakeholders.
    • Assess the Training needs of the TVET students to match the job market in the industry: Based on research, identify knowledge gaps and training needs and requirements and collaborate with Institutions’ administration to define clear learning objectives and outcomes for training activities conducted, to help prepare the students for the next step of their career paths in the digital space.
    • Coordinate Training Sessions: Ensure coordination of logistics and delivery of engaging and interactive training sessions, including venues and training tools, while utilizing adult learning principles and participatory methodologies to maximize engagement and knowledge retention.
    • Evaluate Training Effectiveness to ensure high-quality Training: Develop evaluation and assessment tools and frameworks to assess the impact and effectiveness of training and post-training activities while ensuring high-quality Training and completion rates for registered Students undertaking the activities. Coordinate feedback collection from students and stakeholders to measure the changes and identify areas for improvement.
    • Driving results: Monitoring success of TVET Training and Trainees linked to digital job opportunities and overseeing the effectiveness of the entire engagement for scale and impact.
    • Stay updated on Education, ICT, Digital, and Technology developments: Stay abreast of the latest research, trends, and innovations in the Education, Technology, and Digital industry. Apply this knowledge to continuously improve curriculum training materials and incorporate demand-based approaches into training programs.
    • Team Leadership: Ability to Lead and Supervise a large Team, including Trainers, providing Mentorship and guidance to the team members, on-board and evaluate new Trainers, and coordinate with the Trainers and Training team to develop Training aids such as Manuals and handbooks and reporting materials.
    • Secure effective Partnerships with Organizations that provide work opportunities for trained youth and students in order to identify and catalyze strategic opportunities to develop and support initiatives that align with the organization’s core objectives.
    • Documentation and Reporting: Maintain accurate records of training activities, participant data, and evaluation results. Prepare regular reports summarizing training outcomes, challenges, and recommendations for program enhancement. Lead the development, implementation, and reporting of the Universities/TVETs engagement and alignment with the Program’s strategic plan indicators.

    Qualifications:

    • Bachelor’s Degree in Education, Social Sciences, or a related field.
    • At least 5 years of experience in Educational Management, preferably in large organizations.
    • Strong understanding of educational principles, curriculum development, and teaching methodologies.
    • Excellent organizational, leadership, and communication skills.
    • Proven ability to work effectively with diverse communities and stakeholders.
    • Experience with the digital/technology industry is an added advantage.
    • Experience in monitoring and evaluation, data analysis, and reporting.
    • Knowledge of the Kenyan tertiary education system, competency assessment, policies, and challenges is a plus.

    Responsibilities:

    Finance and Administration Manager

    Responsibilities

    Financial Management:

    • Review existing financial management policies, systems, and procedures including performing walkthrough tests to ascertain areas of improvement and provide guidance to the Organization’s Management and Staff on the policies and procedures.
    • Carry out a review of the internal control system, focusing on the control environment, risk assessment, and control procedures and ensure that required financial controls are in place and adhered to, to prevent over-expenditure of budgets, ensure proper safeguards of finances and ensure compliance with financial and accounting procedures.
    • Provide financial management support following sound budgeting, accounting, and financial control procedures in compliance with the organization’s policies procedures, and best practices.
    • Preparation of Financial records, bookkeeping, maintaining updated files including Invoices, Supplier receipts, conducting internal audit checks, approving timesheets and disbursements, and ensuring that the organization is in full compliance with required regulations and expectations.
    • Ensure integrity of financial data and strengthen financial management processes while identifying improvements in tracking and reporting both receipts and expenditures.
    • Regularly conduct cost analysis and forecasting of finances as a part of regular financial planning and analysis for monthly financials, quarterly forecasts, and other reporting as required and determine updated monthly accruals and projections to support forecasting accuracy as required.
    • Ensure compliance with statutory obligations, financial agreements, and reporting.
    • Strengthen asset management practices both at the office and on the ground level.
    • Reporting: Working with financial software to track expenses and ensure monthly financial reports e.g. from QuickBooks are submitted in a timely fashion.
    • Project Management Support to program teams and operations both at the Headquarters and in the field to ensure compliance with obligations set out in the policies and with external stakeholders.

    Assets and Procurement Management:

    • Work with the procurement team to review the existing procurement processes/ systems, and the controls therein and assess whether they facilitate efficient use of resources.
    • Provide procurement management support to ensure compliance with policies, stakeholder requirements, and local laws and regulations.
    • Support the development of appropriate procurement management manuals to strengthen procurement processes as well as gaps identified in the procurement system/ processes that could lead to any anomalies.
    • Review existing commodity purchases and stock issues processes and recommend changes that would ensure goods are optimally stocked and accountably distributed.
    • Develop tools and guidelines for assets and inventory management.

    Administration, Team Leadership, Training, and Capacity Building of Staff:

    • Supervise and Mentor Departmental Staff in Finance and Administration.
    • Prepare periodic finance and administration reports for presentation to management indicating performance, trends, and projections.
    • Ensure timely payment of utility bills and service invoices and budget for organization utilities, bills, and consumables.
    • Undertake staff training and needs assessment of finance and procurement staff at HQ and ground level.
    • Develop training and capacity building plan and coordinate implementation of the plan.
    • Support with dissemination of financial policies, systems, and procedures to all staff at all levels. Provide support to troubleshoot challenges on financial software package

    Qualifications:

    • A Bachelors/ Master’s degree in Business Administration, Accounting, Finance, Commerce, or other relevant fields.
    • CPA K or ACCA is a must.
    • Minimum of 7 years of experience supervising overall financial and administration operations including donor-funded activities (e.g. teams of human resources, logistics, grant/contract, and finance staff) with annual budgets.
    • Minimum of 4 years of experience on funded projects, matched with an in-depth knowledge of compliance and reporting requirements and GAAP accounting rules.
    • Demonstrated financial management, analytical, and computer skills, with an emphasis on budgeting and financial analysis.
    • Prior supervisory experience.
    • Integrity and diligence in carrying out work duties with minimal supervision.
    • Experience managing local organizations as part of sub-grants/subcontracts.
    • Expert knowledge in the use of financial software applications, including QuickBooks, databases, spreadsheets, and/or word processing required. Packages include Microsoft Outlook, Access, Excel, and Word plus university-specific accounting & and reporting packages.
    • Excellent general management skills particularly in facilitation, team building, and coordination.
    • Sound judgment in solving complex problems coupled with a frequently changing work/ implementation environment.
    • Strong interpersonal, writing, and oral presentation skills.
    • Strong intellectual and analytical skills.
    • Be self-motivated, organized, and detail-oriented.
    • Ability to work in a complex environment with multiple and short deadlines and intense pressure to perform.
