    Investment Operations Associate - Garissa/Dadaab & Eldoret

    About the Opportunity

    The Investment Operations Associate at Inkomoko plays a crucial role in ensuring the smooth functioning of the lending process, supporting the lending team, and providing excellent customer service to borrowers.

    The following are some of the key responsibilities of an Investment Operations Associate are;

    Responsibilities

    LOAN PROCESSING & CLIENT SERVICING (20%)

    • Verify the loan applications and documentation
    • Ensure compliance with the lending policies and regulations
    • Prepare loan files for review by the lending team
    • Respond & resolve customer inquiries, 
    • Maintain a positive relationships with borrowers

    DATA ENTRY & RECORD-KEEPING (45%)

    About the Opportunity

    Investment Manager will be a trusted partner of Inkomoko Garissa/Dadaab clients with the responsibilities below:

    Responsibilities

    DUE DILIGENCE AND FACILITY/INVESTMENT PREPARATION (40%) 

    • Respond to inquiries from prospective borrowers, support them to apply for our investment products, 
    • Introduce the investment products to entrepreneurs, explaining the requirements for repayment and the seriousness of taking on debt financing, 
    • Conduct due diligence on prospective borrowers, including site visits, document preparation, coordination with the Business Development Associates and Business Associates, etc. 
    • Communicate all materials to the Senior Portfolio Manager/ Regional Portfolio Director and assist in preparing credit reports for Investment Committee meetings,
    • Take photos of entrepreneurs, have them sign photo waivers, and post their stories on the Kiva platform.

    PORTFOLIO MANAGEMENT (30%) 

    • Offer excellent customer service through daily conversations, correspondence, and site visits as needed to maintain strong positive relationships with borrowers, 
    • Work with Business Development Services team to ensure borrower success, and Visit clients for monitoring, 
    • Track information about borrowers and communicate effectively with key stakeholders about client status, 
    • Actively participate as key staff in the weekly Portfolio Review Meeting, 
    • Maintain a tracking system of borrower payments and contact information, 
    • Interact with government leaders, the court system, refugees and host communities’ stakeholders and others for follow up on lack of payments, 
    • Work with the Finance Director/Senior Finance Associate to produce invoices for payments,

    TEAM AND GROWTH MANAGEMENT (20%) 

    • Supervising and training Investment Officers staff in all steps of the investment granting cycle including: 
    • Acquisition and screening of potential clients, 
    • Active monitoring of investment repayments and overall performance, 
    • Investment assessment, appraisal and disbursement.
    • Chairing credit/facility committees under the portfolio manager’s approval rights. 

    INVESTMENT MANAGEMENT SYSTEM (10%) 

    • Update both disbursements and investment repayments in the Investment Management System (LMS-powered by odoo)
    • Maintain and demonstrate proficiency with investment software applications
    • Work with system providers to utilize applications to fullest capacity, streamlining processes and procedures, ensuring accuracy and compliance 
    • Assist with system parameters and design to meet the needs of multiple departments. 
    • Manage user security access
    • Ensure proper segregation of duties, develop and maintain work flows for all stages of investment 
    • Advise the Management team how to automate key lending processes
    • Supervise all aspects of the investment operations. This supervision includes posting of payment, payoffs, and balancing, disbursing investment funds
    • Ensure lending team is provided with updates and procedural changes

    Minimum Qualifications

    Investment Manager will be a trusted partner of Inkomoko Kenya clients; basic qualifications include: 

    • University degree in Finance or another related field 
    • Must speak fluent English and Kiswahili. Knowledge of other local languages will be an added advantage 
    • 5+ years of work experience in the relevant or applicable field 
    • Experience in Islamic lending and practice is STRONGLY preferred

    Loan Management System (20% time)

    • Maintain and demonstrate proficiency with loan software applications
    • Work with system providers to utilize applications to fullest capacity, streamlining processes and procedures, ensuring accuracy and compliance
    • Assist with system parameters and design to meet the needs of multiple departments. • Manage user security access.
    • Direct loan input (system boarding) and verification procedures for all loans.
    • Ensure proper segregation of duties, develop and maintain workflows for all stages of loan input.
    • Advise the Management team how to automate key lending processes.
    • Supervise all aspects of the loan operations. This supervision includes posting of payment, payoffs,
    • and balancing, disbursing loan funds.
    • Ensure lending staff is provided with updates and procedural changes.
    • Participates in the review and recommendations of operational systems and procedures.
    •  Successfully interact with lending staff to improve accuracy and efficiencies of Loan management system
    •  Other duties as assigned by supervisor

    Management (20% time)

    • Coordinate loan officer's staff in African Entrepreneur Collective Kenya Limited, setting their work plans, and maintaining weekly staff check-ins.
    • Be aware at all times of key goals and develop daily strategies to achieve those goals in alignment with budget and culture.
    • Work with Loan manager and Portfolio Director to plan and manage the budget, staffing, and other resource needs to deliver program outcomes.
    • Interpret, apply, and ensure departmental compliance with applicable donors and local policies, laws, and regulations.
    • Ensure all staff under your supervision are compliant with organizational HR policies, credit policy and implement disciplinary actions when they are not.
    • Be a good ambassador in ensuring the organizational culture is understood and followed through by all staff under your supervision.
    • Represent the company in a highly professional manner in stakeholders' and government meetings and events in the absence of a Loan manager.
    • Acting the loan manager in his absence.
    • Elevate important trends, risks, and other notable activities to management.

    Minimum Qualifications

    Investment officer will be a trusted partner of Inkomoko Kenya clients, and basic qualifications Include:

    • University degree in Finance or other related field
    • Must speak fluent English and Swahili. Knowledge of other local languages is a plus
    • Experience in group savings and group lending investments is preferred
    • Experience in Islamic lending and practice is STRONGLY PREFERRED
    • Strong financial and accounting skills; familiarity with business financial policies in Kenya
    • Experience in investment management, microfinance, capital leases, and access to finance for
    • Micro businesses and SMEs is STRONGLY preferred
    • Prior experience dealing with customers/debt
    • Prior experience in a lending environment
    • Experience providing business advice to entrepreneurs
    • Prior experience in Investment management system software
    • Decisive individuals with ability to deliver unpleasant messages to the debtors and assertive enough to get the debtors pay off the entire debt

    Inkomoko Kenya Investment Officer is responsible for the items below:

    Responsibilities

    DUE DILIGENCE and INVESTMENT PREPARATION (60%)

    • Respond to inquiries from prospective borrowers; support them to apply for our facility/investment products. 
    • Introduce the investment products to entrepreneurs, explaining the requirements for repayment and the seriousness of taking on debt financing. 
    • Conducts investment appraisal, collects detailed information (personal, business, and guaranties), and arranges to open a new investment account. 
    • Prepares and executes investment contracts and arrange for disbursement of investment in kind. 
    • Conduct due diligence on prospective borrowers, including site visits, document preparation, coordination with the Business Development Advisors and Business Associates, etc. 
    • Communicate all materials to the Portfolio Manager, and assist in preparing credit reports for Investment Committee meetings. 
    • Take photos of entrepreneurs, have them sign photo waivers, and ensure entrepreneurs’ stories are posted on the Kiva platform for fundraising with all correct information. 

    PORTFOLIO MANAGEMENT (20%) 

    • Offer excellent customer service through daily conversations, correspondence, and site visits as needed to maintain strong positive relationships with borrowers. 
    • Work with the Inkomoko Kenya Business Development Services team to ensure borrower success, and Visit clients for monitoring. 
    • Maintain both delinquency and default rates below set rates during yearly goal setting, 
    • Track information about borrowers and communicate effectively with key stakeholders about client status. 
    • Actively participate as a key staff in the weekly Portfolio Review Meeting. 
    • Maintain a tracking system of borrower payments and contact information. 
    • Work with the Finance & Admin team to produce invoices for payments and monthly reconciliation of investment department transactions. 
    • Interact with government leaders, court systems and others for follow up on lack of payments.

    Investment Administrator - Mombasa, Garissa & Kakuma

    About the Opportunity

    Inkomoko  Kenya Investment administrator is responsible for the items below:

    Responsibilities

    Department Admin Support (40%)

    • Be the lead taker of Investment committee meeting minutes and other department meetings;
    • Be the lead administrator for Inkomoko  Kenya’s LMS powered by (Odoo), tracking all borrower information – including creating and updating clients’ profiles, payments registration, and disbursements tracking;
    • Track, file and report on compliance with disbursements, collection and other non-financial matters;
    • Create reports on investment disbursement, closing investments and active investments;
    • Actively participate as a key staff in the weekly Portfolio Review Meeting;
    • Compile the pipeline from the BGS Team and prepare the lists for UNHCR verification;

    Investment Compliance and Reporting (20%)

    • File and maintain Investment contracts, legal documents and other documents in a safer way (both paper and electronic) and meeting Inkomoko   Kenya filing standards, 
    • Manage communication between lending and other department staff and perform regular investigation to resolve all customer /team issues efficiently,
    • Analyze and identify all fee discrepancies in investment processes and perform regular audit on processes and ensure compliance to all requirements,
    • Assist with the preparation of annual reviews for projects in the investment department,
    • Collect and share financial reports and other relevant information to Investment manager, Snr Portfolio Manager and Regional Portfolio Director,
    • Prepare timely and accurate reports required by partners, stakeholders and funders including Kiva, investment committee, CBK etc…

    Kiva documentation and compliance (20%)

    • Ensure borrowers profiles meet Kiva standards,
    • Select photos of entrepreneurs, have them sign photo waivers,
    • Prepare Kiva report on monthly basis and other departmental reports,
    • Write compelling descriptions of borrowers in English and post them to the international Kiva platform for fundraising,
    • Prepare documentation for new approved investments to be posted on Kiva website, 
    • Ensure 100% of investment repayment schedules are matching with Kiva repayment schedules - on kiva platform, 
    • Coordinate with lending staff to get all investment documentation needed for fundraising, 
    • Adhere to credit policy TAT for Kiva fundraising and meet clients’ needs, 
    • Ensure that we are adhering to the requirements of our Kiva partnership, including reporting and journaling,
    • Ensure that all investment documentations are updated appropriately in the system so that the Kiva fundraising tasks are performed easily.

    Coordination with Finance (10%)

    • Identify discrepancies between different investment department reports and finance reports and propose ways to solve them,
    • Perform various accounting processes that deal with receipts, payments and checks issued,
    • Initiate collection activities on the past investments past due,
    • Identify signs of unusual or suspicious investment activities and make recommendations to minimize the risk factors.

    Investment Closing and Disbursements (10%)

    • Ensure that investments disbursement adhere to investment committee approval decisions and policies,
    • Review and prepare requests for investment disbursements and ensure 100% compliance with the investment committee decision such as approved investment amounts and conditions for approval,
    • Ensure all refugee clients are verified by UNHCR prior to the disbursements in order to minimize risks,
    • Other duties as assigned by the supervisor.

    Minimum Qualifications

    The Investment Administrator will be a trusted staff of Inkomoko  Kenya clients.  We are looking for someone with incredible attention to detail who can be sure that all of our operations and communications are in the highest order.  

    Basic qualifications include:

    • Strong English writing and reading skills is STRONGLY preferred,
    • a university degree in finance or other related field,
    • Must speak fluent English, and Swahili. Other languages are an additional asset, 
    • Experience in investment management and access to finance for MSMEs in Kenya is a preferred,
    • Very strong attention to details and good follow through,
    • Ability to work well under pressure and ability to multitask,
    • Unrelenting perseverance, personal integrity, and critical thinking skills,
    •  2+ years of work experience in relevant or applicable fields.
    •  Must be able to legally work in Kenya.
