    Environmental Management Assistant

    JOB PURPOSE

    The Environmental Management Assistant supports the Regional Environmental Management Advisor to implement EMS in country operations, by supporting COs to research and deliver local actions to reduce environmental impacts on a continuous improvement basis and responding to environmental challenges. This work helps WFP to systematically measure, manage and report on WFP’s environmental risks, and reduce operating costs by enabling cost-effective environmental actions in WFP’s facilities and operations.

    STANDARD MINIMUM QUALIFICATIONS

    Education:

    • University degree in Environmental Studies, Environmental Management, Environmental Economics, Natural Resource Management, Environmental/energy/water Engineering, Sustainable Development, or a related field
    • Advanced university degree (Masters or equivalent) highly regarded

    Experience:

    • 1-2 years’ experience implementing EMS highly desirable
    • Prior experience designing and/or implementing sustainability projects highly regarded
    • Prior experience or in connection with a UN system organization or in the humanitarian sector is desirable

    Languages:

    • Written and oral proficiency in English is essential
    • Intermediate knowledge of another language widely spoken in the region is highly regarded

    KNOWLEDGE & SKILLS

    • Proven knowledge of at least two of the following disciplines: waste management, energy/GHG management, water management, environmental compliance, and sustainable procurement
    • Working knowledge of international environmental footprinting standards including the Greenhouse Gas Protocol and other environmental standards such as ISO 14001
    • Excellent command of MS Office; experience with communications tools is a plus
    • Ability to work with multiple teams from different backgrounds and functional areas and with offices in remote locations.

    KEY ACCOUNTABILITIES (1)

    The Environmental Management Assistant will support the work of RBN’s Regional Environmental Management Advisor. Under his/her direct supervision, the candidate will perform the following dut. Support the implementation of WFP’s Environmental Management System (EMS), consistent with the requirements of the international standard ISO 14001:2015 and in accordance with the commitments of the UN Sustainability Strategy, including

    • Developing Initial Environmental Reviews (IER) for RBN countries, through background research, data collection/presentation and drafting text.
    • Contributing to the compilation and update of environmental action plans for COs where EMS is being implemented
    • Supporting the Regional Environmental Management Advisor to monitor and report implementation progress of EMS action plan

    Provide technical support to COs, including

    • Assisting the Regional Environmental Management Advisor to research, plan and implement environmental projects (either within the context of EMS implementation or as stand-alone initiatives) to address WFP’s environmental impacts.Conducting research on appropriate, locally available and innovative sustainable energy/waste/water/procurement solutions

    KEY ACCOUNTABILITIES (2)

    • Support the Regional Environmental Management Advisor to develop communications material (e.g. slide decks, fact sheets, videos, articles, guidelines, reports) with environmental content
    • Contribute to the development and dissemination of awareness raising and training material on environmental themes and promote behavioural change
    • Contribute to the development of corporate tools, templates and other materials for identifying, assessing, managing and reporting on WFP’s environmental impacts
    • Contribute to other environmental initiatives undertaken by the Environment Unit, as directed by the assignment supervisor.
    • Contribute to WFP’s annual environmental footprint reporting exercise, involving the collection, review, analysis and reporting of energy usage, water consumption and waste generation data from RBN COs

    DELIVERABLES THE END OF THE CONTRACT

    • Updated EMS action plans for RBN countries where EMS has been launched
    • RBN’s environmental footprint data collected, reviewed and recorded in WFP’s internal software

    Supply Chain Officer, NOA, Marsabit and Roster Position

    STANDARD MINIMUM QUALIFICATIONS

    Education:

    • Advanced University degree preferably in Supply Chain Management, Engineering, Economics, Business Administration, Logistics, or other related field, or First University degree with additional years of related work experience and/or training/courses.
    • Minimum of 5 years of related work experience in any of the above disciplines and 3 years’ postgraduate professional experience in one or more of the relevant fields.

    Language:

    • Fluency in English language.

    ORGANIZATIONAL CONTEXT

    This job will be based in our Field Office in Marsabit and reports to a the Head of Field Office, receiving guidance and regular feedback on work performed which is essential to facilitate learning, self-development and possible assumption of expanded responsibilities. Job holders at this grade level are typically “contributors” and work closely with a more experienced professional staff member. They carry out analytical work and come up with recommendations on supply chain related matters.

    JOB PURPOSE

    To provide analytics and contributions to the supply chain activities or/and contribute to field supply chain operations, following an effective and integrated supply chain approach meeting the food assistance needs of beneficiaries and service provision requirements for partners.

    KEY ACCOUNTABILITIES (not all-inclusive)

    • Contribute to the development and implementation of supply chain plans and procedures, in line with the global WFP supply chain strategy and regional/functional strategies, policies and plans, to achieve operational cost efficiency, agility, reliability, quality and to support national capacity strengthening.
    • Contribute to country context analyses and management of end-to-end operational supply chain and retail networks, in order to support addressing operational supply chain challenges and obtaining operational optimization.
    • Contribute to the implementation of supply chain operations, initiatives and services to ensure a timely, cost-effective and integrated approach with core activities and services.
    • Collect and analyze data and put together reports highlighting opportunities for improvement and effective operationalization of supply chain within the area of responsibility.
    • Conduct portions of financial analysis and budget reviews, drawing out recommendations to the supervisor for maximizing use of resources and effectiveness of supply chain operations.
    • Partner at the operational level and collaborate with counterparts in the key supply chain functions contributing to an integrated supply chain approach to food assistance and cross-functional operational alignment.
    • Conduct portions of market analysis and supply chain network mapping for the review of the supervisor, to support wider analytics on the selection of an appropriate operation modalities to improve supply chain performance.
    • Support supply chain projects or operational day-to-day activities in compliance with the established supply chain strategies, policies, procedures and controls, and following corporate standards, contributing to quality control, loss prevention, risk mitigation and cost effectiveness.
    • Support monitoring supply chain activities to check that appropriate internal controls are followed to increase the day-to-day efficiencies and overall performance of supply chain operations.
    • Support management of service providers/vendors, port, fleet and warehouse operations to promote safe, efficient planning and execution of WFP operations.
    • Prepare accurate and timely reports or support preparation of complex reports, dashboards and other visual materials on supply chain activities for supervisor’s review to contribute to informed decision-making and consistency of information presented to the stakeholders.

    Programme Assistant (Operational Information Management & Reporting)

    JOB PURPOSE

    The Programme Cycle Management team under the Programme Unit in the Eastern Africa Bureau needs to fill the position of Programme Assistant, OIM and Reporting position to support OIM and PR in carrying out information management and reporting related to WFP operations and the implementation of DOTS for operational updates in-country offices. 

    STANDARD MINIMUM QUALIFICATIONS

    Education: Bachelor’s degree in International Affairs, Social Sciences, Development Studies, Communication, Information Sciences or other field relevant to international development assistance is desirable.

    Experience and Skills required: 1-2 years’  related exeprience in addition to understanding of basic technical concepts and data and their relevance to food assistance programmes. Experience utilizing computer programs, including word processing, spreadsheets, data capture systems and other software packages and systems; ability to deliver results through planning and organizing own activities effectively; ability to manage multiple requests at a time; excellent teamwork skills in a multicultural environment; detailed work style and strong work ethics; and ability to meet strict deadlines.

    Language: Advanced English language skills both written and oral. Knowledge of a second UN language, preferably French would be an asset.

    KEY ACCOUNTABILITIES (not all-inclusive)

    Under the supervision of the Regional OIM and PR Officer, the Programme Assistant, OIM & Reporting will support all OIM activities, and contribute to the establishment and presentation of a standard operating picture of WFP’s portfolio and associated results that facilitate informed and timely decision-making at all levels throughout the organization. In addition, the Programme Assistant will support the implementation of DOTS for operational updates in the country offices and regional bureau.

    OTHER KEY ACCOUNTABILITIES

    • Together with the Regional OIM officer, determine and map country office capacity needs in corporate reporting in order to build the capacity of CO OIM officers
    • Assist in the identification of reporting processes that may require automation to allow for greater efficiency and timelines of information.
    • Work with the Regional Data coordinator and TEC to ensure that OIM and corporate reporting needs are captured in DOTS.
    • Work with RB technical units to define the operational updates required in their thematic areas, what information and frequency of information that should be captured in DOTS.
    • Support the team in the planning of OIM/ Annual Country Report (ACR) trainings and/or information sessions.
    • Support in preparation of regional reports through collation of inputs and data from internal sources (RB teams, country offices) and external sources.
    • Support in the review of country briefs and other operational ad-hoc reports.
    • Track reporting processes, including timelines and submissions to inform actions and support as required
    • Support in strengthening information management in the region including through maintaining an up-to-date repository for OIM reports including emerging contextual humanitarian information.

    IT (SCOPE) Service Operations Analyst

    JOB PURPOSE

    We are seeking to fill the position of a Service Operations Analyst to join the Global SCOPE Service Operations (WFPs digital assistance platform) team based in Nairobi, Kenya.

    STANDARD MINIMUM QUALIFICATIONS

    Education: Bachelor’s degree in any business-related course, Computer Science, Information Technology or a related programme from an accredited University.

    Should have at the least certification in ITIL3 Foundation and ITIL Service Operations and ITIL Continual Service Improvement from an accredited institution.

    Experience:

    • 4  years post-graduate in a Service Operations environment and progressive administrative work in support of a business function.
    • Proficiency in using Outlook365
    • Must have practical knowledge in the use of an IT Service Management tool including reporting.

    Language: Fluency in both oral and written communication in English is essential. Official UN language is an added advantage especially French and/or Spanish.

    DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

    • Experience with working in a Service Operations Unit setup.
    • Conversance with the WFP SCOPE end to end process including the end-to-end SCOPE Service Operations processes
    • Experience using Easy Vista and Azure DevOps.

    KEY ACCOUNTABILITIES (1)

    • Working in the SCOPE Service Operations Unit under the direct supervision of the Service Operations Lead, you will be responsible for the following duties:
    • Manage, monitor, and guide the Training Release and Access Management team members in their daily operations, delegating duties and authority where need be.
    • Coach and develop team members’ strengths and capabilities.
    • Be the project manager for any project covering the team’s area of operation and support.
    • Assist the Service Operations Lead in identifying new projects and services that the Service Operations team can offer.
    • Perform learning and development activities including knowledge management for all solutions supported by the Service Operations team. This includes offsite and onsite training.
    • Be an advisor and alternate to the Service Operations Lead (where called upon).
    • Work with the other Team Leads on the identification of areas of Continuous Service Improvement for the Service Operations team.
    • Be the direct supervisor of your team members, performing periodic performance reviews and advising on areas that require improvement.
    • Be the interface between your team and third-level support, including escalating any team requirements to the Service Operations Lead.

    KEY ACCOUNTABILITIES (2)

    • Mediate between end user requests and team member responses, ensuring efficient, accurate and timely responses and resolution to the end users.
    • Liaise with the Problem and Incident managers in analysis and resolution of reported incidents and problems.
    • Translate end user specifications to technical requirements and liaise with third-level support teams in development of the same.
    • Monitor usage of the Global Service Management tool, providing inputs and recommendations of changes where needed.
    • Provide business support services to the Service Operations unit such as travel requests, protocol, leave plans, staff availability calendars and events organization (trainings, boot-camps, retreats)
    • Maintain an updated clean stock record of all equipment allocated to the entire team and manage the issuance of equipment to team members.
    • Oversee and ensure that queue management, end user communication, team support and administrative services are all carried out effectively and efficiently.
    • Actively participate in presentations/demos of release candidates by third level support.
    • Identify commonly recurring requests for assistance and provide advice on how these can be prevented or minimized.
    • Any other duty that may be assigned.
