    Administrative Officer- Disaster Management

    Key Responsibilities:

    Administrative support to Disaster Management Team

    • Coordinating administrative functions and support the Directorate
    • Maintain the Directors’ diaries and remind him of any appointments.
    • Compiling documents for meetings that the Director attends in consultation with the responsible technical persons.
    • Follow up on issues needing the Directors’ urgent attention.
    • Managing callers and visitors to the Director, screen them to determine the responsible persons to handle them.
    • Coordinate effective bookings on facilitation and meetings.

    Coordination of Disaster Management teams

    • Liaises with the group director in developing strategic agenda for the Disaster Management Team meetings.
    • Prepares an account of the meetings, taking minutes designates, and follows up on assigned action items.
    • Organize joint meetings for the Disaster Management teams and taking minutes and circulating them.
    • Follow-ups on outstanding issues with the field teams and Managers as assigned.
    • Tracking DM staff related issues and contracting in collaboration with the P&C
    • Receive, sort and distribute all incoming and outgoing mails promptly.
    • Handle visitors and channel needy cases to other Directorate tams and the field teams for any possible assistance.
    • Handle scanning, emails and photocopying.
    • Managing of assets and office supplies for the Disaster Management teams.
    • Dispatch documents to the field teams using the available effective means including electronic dispatches.
    • Make international travel arrangements for the Directorate and Field Teams.
    • Make domestic transport arrangements for Directorate and Field Teams
    • Make reservations for accommodation and meeting venues/ scheduling of virtual meetings for Directorate and Field Teams.

    Records Management

    • Maintain an updated filing system for Directorate and Field Teams (Soft and Hard copy filing).
    • Update all administrative records for the Disaster Management teams on M-drive and Box. 
    • Ensure availability of copies of all MoUs and Agreements on M-Drive and Box.
    • Track movement of documents to and from departments/programs for ease of tracing.
    • Facilitate the approval of key documents both physical and electronic.

    Engagement, Networking and Partnerships

    • Maintain links with relevant stakeholders for collaboration, networking, resource sharing, material development and learning activities.
    • Ensure WVK visibility and participation

          Others

    • Perform any other duty as may be assigned by supervisor or designee from time to time

    KNOWLDGE/QUALIFICATIONS FOR THE ROLE

    • Bachelor degree in Business Administration, Education, Community Development, Disaster management or related field.
    • Must have a thorough knowledge of support services systems, including planning, reporting, and IT Knowledge
    • At least 5 years’ experience in office Administration.
    • Experience working in a Disaster management context
    • The position holder must be a result-orientated who can manage and satisfy multiple, work demands from a various teams.
    • Computer knowledge including Microsoft office (Word, Excel, power point),
    • Experience in engaging with government ministries and other external partners is essential
    • He /she must be a strong team player.
    • Strong organizational skills, independent judgement, and the ability to be flexible as the demands and priorities change.
    • Self-starter with ability to operate effectively under highly dynamic conditions.
    • Ability to make judgements and decisions that may impact the office, and provide technical advice.
    • Ability to maintain high level of confidentiality in handling sensitive information.

    Communications Officer (Media Relations & External Engagement)

    Key Responsibilities:

    Media Relations and Brand Visibility

    • Develop and execute a media relations strategy to secure positive coverage of World Vision Kenya's work in local, national, and regional media outlets.
    • Draft press releases, media pitches, and other communication materials that effectively communicate World Vision Kenya's brand story and impact.
    • Build and maintain strong relationships with journalists, editors, and influencers to increase brand awareness and media visibility.
    • Assist to develop and implement a social media strategy to engage audiences, promote World Vision Kenya's initiatives, and foster online communities.
    • Create compelling content (written, visual, and multimedia) for various platforms to showcase World Vision Kenya's work and achievements.
    • Maintain awareness of the latest media trends, communication technologies, and best practices to ensure World Vision Kenya's message resonates with its target audiences.
    • Lead in media planning, engagements and timely response to media inquiries and perform media outreach to achieve brand placement in publications and other mass media platforms.
    • Proactively pitch ideas for new content and content updates to Communications & Marketing Manager and contribute to the maintenance of planning of a content calendar.
    • Contribute in crisis management through media monitoring for potential reputational risks.
    • Track analytics and create reports detailing successes and failures of communications content
    • Ensure that all communications and marketing material align with brand standards

    Networking, Partnerships & Advocacy

    • Develop and execute communication campaigns that raise awareness of critical issues affecting children in Kenya, influencing policy change and garnering public support for World Vision's advocacy efforts.
    • Craft media pitches, press releases, and talking points tailored to secure impactful media coverage that advances World Vision Kenya's advocacy goals.
    • Build and manage relationships with key stakeholders, including government officials, NGOs, civil society organizations, and the donor community, to strengthen World Vision Kenya's external engagement and advocacy initiatives.

    Planning and Capacity Building

    • As media focal point, coach others to create and deliver effective messages as thought leaders to represent World Vision activities to the media, discussing both current events and strategic issues of improved and sustained well-being of vulnerable children in Kenya
    • Under the guidance of the Communications & Marketing Manager, train and position approved media spokespersons to respond to media inquiries and achieve positive coverage for World Vision Kenya
    • Under the guidance of Communications & Marketing Manager provide advice and training to others where needed on communications activity – eg advice on social media, media interviews or other related skills.
    • Support in developing strategic solutions to emerging communications challenges.

    Learning, Documentation and Quality Assurance

    • Document success stories/case studies and best practices, and to be shared during learning events.
    • Review project publications and external marketing engagement materials for alignment to WVI quality and brand.
    • Create relationships and connections utilizing various channels for information sharing, learning, influence to help shape and advance the communications agenda

    Others

    • Participate in Trans teams and support other initiatives by partners in the spirit of integration
    • Any other duties as might be assigned from time to time

    KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

    • Bachelor’s degree in Communications, Marketing, Journalism or a related discipline.
    • A minimum of 5 years of progressively responsible experience in public information, external communications, journalism, international relations,
    • A minimum of 3 years of experience in leading media relations, external engagement
    • Experience working in a communications office in NGOs or for a media outlet in print, radio or television is desirable.
    • Excellent written and oral communication skills, with demonstrated experience in strong editorial skills for traditional media & digital publication and distribution
    • Strong communicator who works well independently and with the team
    • Ability to think strategically and identify ways to improve communication efforts

    Program Officer - Child Protection, Participation & Safeguarding.

    Key Responsibilities:

    Technical Support

    • Support in ensuring timely implementation of all the protection and safeguarding related interventions, methodologies and models in the Area programs.
    • In liaison with the CPP&S TP Manager, offer technical leadership in the development of the annual implementation plans and budgets ensuring protection and safeguarding is integrated.
    • In liaison with the CPP&S TP Manager, develop and review monthly support activity schedules to ensure on time, on budget, on target implementation of the projects and programs related to the CPP&S TP so as to meet community, WVK and donors expectations and accountability.
    • Working in consultation with the POs at field level, ensure establishment of functional community child protection, adult safeguarding reporting and feedback mechanism structures and provide the necessary actions and support in a timely manner.
    • Provide technical support to; NO, programs and projects to ensure that they have contextualized and operational Safeguarding Incidence Preparedness Plan (SIPP).
    • Offer technical support to safeguarding management committees at NO & AP level and ensure that WVK remains a child safe organization.
    • Support in the implementation of the Child and Adult Safeguarding Policy at the National and AP level ensuring that the Policy is well socialized and implemented in compliance to the WV Partnership standards.
    • Support in monitoring cases reported in Ethics Point and ensuring timely closure of the same.
    • Submit a weekly update report on cases reported and closed in Ethics Point.
    • Coordinate participation of children in national and local children forums ensuring safeguarding protocols are observed.
    • In close collaboration with the supervisor, support staff recruitment, retention, mentorship, and coaching.
    • In collaboration with the CPP&S TP Manager and key functions, develop and monitor Safeguarding Action Plan for WVK.
    • Ensure community-based accountability mechanisms are appropriately designed to raise awareness of, detect and escalate safeguarding issues, in collaboration with Accountability.

    Quality Assurance, Monitoring, Evaluation, Documentation and Learning

    • Ensure alignment of all Child protection Design, Monitoring and Evaluation activities with the stipulated protection and safeguarding standards.
    • Participate in the WVK safeguarding annual self-assessment and implementation of its recommendations.
    • Participate in research and learning agenda in close collaboration with identified academic partners and support office to ensure protection and safeguarding requirements are incorporated.
    • Support in development of a safeguarding risk register to ensure risk mitigation in implementation and ensure accountability.
    • In consultation with field teams, DMEAL coordinator, project managers and communications officer, develop context specific electronic and appropriate documentation on best practice and lessons learned.
    • Generate Quality & Accurate quarterly, semi-annual and annual protection and safeguarding reports informed by Monthly Management Reports and in line with relevant offices requirements and regulations.
    • Lead staff in conducting a Safeguarding Risk Assessment and creating a risk management plan, ensuring safeguarding risk is documented in safeguarding Risk Register.
    • In consultation with the CPP&S Manager, Establish a functioning safeguarding training and capacity building system for WVK

    Advocacy, Networking, Collaboration & Partnerships

    • Establish and sustain working relationships with key stakeholders.
    • Work with partners and coalitions to engage in advocacy activities with the government structures, (both at National and County level) to address the protection and safeguarding needs of local communities within WVK areas of operation.
    • In coordination with the Child Protection, Participation & Safeguarding Technical Program manager and the Advocacy Manager participate in national level coalitions on CP advocacy issues.
    • In collaboration with the program managers, ensure that program participants and partners are kept informed of all Government laws and policies and WVK policies in respect to Prevention of Sexual Exploitation & Abuse (PSEA) and Child protection and Child and Adult safeguarding.
    • Participate in relevant Annual National and County Government’s Planning and Budgeting processes and influence resource allocation to the priority needs of the most vulnerable groups in programme areas.
    • Participate in relevant Technical Working Group (TWG) meetings.

    Resource mobilization

    • Support development of timely and accurate funding proposals in line with donor requirements and WVK protection and safeguarding standards in collaboration with Managers and other sector specialists.
    • Provide information to advise fund raising initiatives for programs related to; Child protection, participation and safeguarding.

    Others

    • Perform any other duties as may be assigned by supervisor or designee from time to time.
    • Participate and contribute to committees and task forces which you may be appointed to.
    • Participate and lead devotions as appropriate.

    KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

    • A minimum of a bachelor’s degree in Social Sciences preferably in child development, child protection, humanitarian aid/development, child rights, public policy, law, sociology / social work or other related field (A degree in Education and experience working in child protection: including child protection program design, implementation and monitoring will be considered)
    • Good computer skills in Ms. Office (Excel, word, PowerPoint), Skype, etc
    • Minimum 5 years’ experience in community development work implementing child protection and adult safeguarding programs. Familiarity with GBV/FGM projects a plus.
    • Thorough understanding of all areas of project management cycles in a complex, international development organization especially in development or Relief Projects.
    • A good understanding of International, Regional and National framework on human rights for women and children such as Convections on the Rights of the Child, ACRWC, ANTI-FGM Board operations, Convention for the Elimination of all forms of Discrimination Against Women, Africa Charter on the Rights and Welfare of Children, Prohibition of female Genital Mutilation Act, Children Act among others.
    • Experience in program design, implementation, monitoring and evaluation and reporting.
    • Demonstrate ability to influence, network and collaborate with national and county level government, NGO and UN Agency on child protection initiatives.
    • Proven track record as a staff and community trainer and capacity builder in Child Protection, and safeguarding.
    • Familiarity with systems approaches to child protection programming, advocacy approaches and referral systems.
    • Demonstrate ability to manage resources efficiently and effectively.
    • Demonstrate experience in implementing faith and development models and working with faith leaders.
    • Must be a committed Christian who is able to stand above denominational and cultural diversity challenges.
    • Excellent oral and written communications, team player, and proficient in English and Kiswahili.
