    Human Resource / Admin Assistant - Kenya Nationals Only

    NRC is seeking to recruit HR/Admin Assistant. The HR/Admin Assistant will assist with the administration of the day-to-day operations of the human resources (HR) and Admin functions of the NRC Dadaab Area office.
    The HR/Admin Assistant will directly report to HR/Administration Officer.Job description
    • Comply with with NRC’s HR policies and procedures
    • Assist in the implementation of the organization policies and procedures
    • Provide support in recruitment processes, including advertisements, filling applications, inviting candidates, organizing interview venues etc.
    • Update staff records and files, including contracts, leave, medical, appraisals, etc.
    • Generate monthly records and reports such as staff lists, leave and other HR statistics
    • Process and follow up claims for medical cover and insurance
    • Prepare staff contributions to relevant statutory bodies (social security, pensions etc.)
    • Assist in preparing the national staff payroll
    • Assist in training and capacity building arrangements
    • In liaison with the Administration Officer develop appropriate policies and procedures for hospitality in NRC Hagadera
    • Prepare the catering, accommodation and housekeeping budgets for review with the Administration Officer
    • Maintain catering, accommodation and housekeeping stock inventories
    • Ensure cleanliness, décor and design of kitchen and accommodation units
    • Monitor laundry cleaning and ensure laundry procedures, processes and standards are maintained
    • Prepare section reports and maintain a proper filing system including stock and material requisitions and usage records
    • Ensure proper maintenance, safekeeping and timely replacement of catering, accommodation and housekeeping equipment, working tools and assets
    • Coordinate garbage collection and disposal.
    • Assign, train, supervise and appraise the work of cooks and cleaners
    • Any other assignment as may be required by the line Manager.

    Qualifications

    • National Diploma in Human Resources Management/ Diploma in Business Administration or any related field
    • Two years working experience in HR/Admin department
    • Previous experience from working in complex and volatile contexts
    • Documented results related to the position’s responsibilities
    • Knowledge about own skills/profile
    • Some knowledge of English

    Education field: Administration / Organisation / Management

    Education level: Academy college / University

    Logistics Officer

    NRC is seeking to recruit Logistics Officer. The Logistics Officer will be responsible to provide logistical support for project activities including overseeing the operations of the warehouses of the NRC Dadaab Area office.

    The Logistics Officer report to Logistics Coordinator, Dadaab.

    Job description

    • Oversee the receiving, storage and dispatching of supplies and project materials to the respective camps
    • Ensure effective and efficient logistics support for daily Area operations including procurement and supplies, all being implemented in accordance within the policies and standards, as well as approved budgets
    • Participate in the tendering process including preparation of tender documents relating to construction materials and equipment
    • Prepare procurement plans in conjunction with relevant departments
    • Ensure that procurement status reports are up to date at all times and are shared appropriately
    • Oversee the warehouse operations to ensure stock security adherence to policies, process, procedure and guidelines
    • Ensure that all records including inventory lists of NRC items and equipment are updated and easily available to authorized users
    • Ensure that the periodic inventory reports are prepared as required internally by NRC and/or by donors ie monthly, quarterly, yearly
    • Ensure the functionality of NRC Dadaab fleet of vehicles and equipment to support program implementation
    • Ensure proper vehicle and other equipment utilization, maintenance, fuel consumption and monitoring and controls systems as per NRC policies and procedures
    • Assign duties, supervise and appraise section staff
    Qualifications
    • Bachelor’s Degree in Business Administration or Logistics with basic accounting knowledge
    • Higher National Diploma in Purchasing and Supplies
    • Five years working experience in Logistics department
    • Previous experience from working in complex and volatile contexts

    • Some knowledge of English

    Logistics Assistant

    Job description
    • Receive all incoming supplies, inspecting and verifying them for conformity to the order specifications and delivery notes
    • Ensure that all goods received are stored in assigned storage locations and handled as per NRC procedures of safety, security, accountability and transparency
    • Distribute materials, products, parts and supplies to field warehouses based on NRC procedure
    • Monitor the operations in the warehouses to ensure adherence to policies, process, procedure and guidelines
    • Conduct periodic inventory of stock and ensure that relevant documentation are created, updated and accurate
    • Consolidate material update reports for programs and advise on stock levels
    • Ensure effective trucking of materials in the warehouse and returns from the field
    • Ensure proper and clear records of all incoming and outgoing materials in the warehouses are kept and maintained in standard NRC templates
    • Review stock details and recommend disposal of excess, expired, defective or obsolete stock together with suggestions on how to reduce over-ordering
    • Compile periodic stock reports
    • Organize facilities maintenance and cleaning of the warehouses and other storage facilities
    • Assign duties, supervise, train and appraise Warehouse In-Charge
    Qualifications
    • National Ordinary Diploma in Business Administration, logistics related field preferred

    ICT Assistant

    NRC is seeking to recruit ICT Assistant. The ICT Assistant will provide technical support in information technology to staff in Dadaab field offices, manage and administer all the NRC Dadaab computer networks, hardware and software installations.
    The ICT Assistant report to ICT Officer.

    Job description
    • Implement NRC’s ICT policies and guidelines at office level
    • Ensure system security
    • Perform system and application migration /upgrades
    • Enroll and train users on Okta and other NRC online resources
    • Schedule computer related services, maintenance and license renewals
    • Ensure installation and maintenance of protection services (anti-viruses and firewalls)
    • Plan network maintenance and audits from time to time
    • Provide ICT support and trainings to staff
    • Liaise with ICT service providers
    • Attend and participate in interagency ICT meetings and provide solutions to existing challenges
    • Stand in for the ICT Officer
    Qualifications
    • Diploma or Bachelor’s Degree in information and communication technology or equivalent qualification in ICT
    • Minimum of three years of relevant work experience in a humanitarian context
    • Hands on using Microsoft, cisco meraki, Lenovo, HP, UBiQUiTi, and other ICT industry brands
    • Knowledge of long distance point to multipoint transmissions in remote areas
    • High level of competency in resolving hardware, software and common network problems
    • Previous experience from working in complex and volatile contexts
    • Documented results related to the position’s responsibilities
    • Knowledge about own manager skills/profile
    • Fluency in English, both written and verbal
