    Project Support Assistant

    RESPONSIBILITIES

    Under the overall coordination of the Senior Human Settlements Officer/Head of Country Programme and the direct supervision of the Programme Officer (PCU Unit Lead), the Individual Contractor will be responsible for the following:

    •  Contribute to the preparation of contractual documentation for local staff and consultants, for example developing evaluation matrixes, putting together recruitment documentation and follow-up in the recruitment process.
    •  Provide support in preparations of Agreements of Cooperation and all other legal instruments applicable in the implementation of the Programme and project activities for the Somalia Programme.
    •  Assist in the preparation of trainings and workshops for the Somalia Programme and monitors follow-up activities.
    •  Provide assistance in the clearance and approval of legal documents such as Agreements of Cooperation applicable in the implementation of the programme and project activities
    •  Support the regular updating of the Agreements of Cooperation monitoring tracker.
    •  Support in the quality assurance of submitted reporting documents by Implementing Partners.
    •  Support in the compilation of project procurement and recruitment plans as per the agreed timelines.
    •  Support the preparation for project related meetings including logistics, procurement of venue and budget preparation.
    •  With the support of the ICTS office, assist in the setting up on new user accounts, laptop assignment and troubleshooting of system and network problems.
    •  Assist in the compilation and updating of inventory of non-expendable items (for the Nairobi and Somalia Offices)
    •  Ensure adequate and efficient support services for all meetings and conferences held in Nairobi and Somalia
    •  Maintain orderly files on on-going projects and project/programme
    •  Any other related tasks as assigned.

    Qualifications/special skills

    • High School diploma and supplementary training in Business Management, Administration, Human Resource Management, Development Studies, or any related fields is required.
    • One year experience in support roles involving drafting and reviewing legal agreements, drafting of written outputs, data entry, human resource management as well as reporting is required
    • Candidates who have experience supporting post-conflict countries is preferred.

    Languages

    Fluency in oral and written English is required.

    Education

    • Advanced university degree (Master's degree or equivalent) in Business and/or Public Administration and Management or a first level university degree with relevant combination of academic and professional qualifications may be accepted in lieu of the advanced university degree. CPA/ACCA or equivalent qualifications would be an asset.

    Work Experience

    • A minimum of five years of progressive experience in project or programme management, administration, financial management or related area including at least two in an international organization is required
    • Experience in project or programme management, design, development, deployment and ongoing delivery of projects involving strategic planning is desirable.
    • Work experience of working in an international setting is desirable.
    • Work experience in Enterprise Resource Management, e.g. Umoja is required
    • ACCA or CPA certificates is desirable
    • Experience in budget planning, project implementation and reporting to Donor is desirable

    Languages

    English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of other UN official language(s) would be an asset.
