    Regional Executive Support Manager

    • The Regional Executive Support Manager (RESM) is a critical member of both the EAST & Central AFRICA Regional Teams, responsible for providing top-notch administrative and office support services for the EAST & Central AFRICA Regional Leadership Teams to ensure seamless operations and high-level performance. This role requires excellent management, organization, and communication skills to partner with the Regional Vice Presidents, Regional Leads, and Country Directors. The position reports to the 2 Regional Vice Presidents and works closely with Regional Leads and Country Directors.

    Responsibilities
    General Administration for Regional Team 60%
    Administration

    • Provide senior-level office management support to both EAST & Central AFRICA Regional teams including managing diverse and complex office logistics, calendaring, and archiving.
    • Organize all inter-departmental meetings inclusive of developing and distributing comprehensive agendas, taking notes, preparing any presentations or related documentation, room booking, etc. and following up on action plans as required.

    IT Support

    • Provide support in IT coordination and troubleshooting, liaising with the IT service desk as necessary for the Regional Vice Presidents, Deputy Regional Directors, and Country Directors.
    • Take the lead in developing and maintaining East & Central Africa’s RescueNet intranet space, including uploading data/ updates.

    Communication

    • Handle daily incoming calls, inquiries, and emails and process them accordingly.

    Financial Support

    • In collaboration with Global Real Estate and Workplace Solutions (GREWS) I-HUB finance and procurement team raise Purchase requests.
    • Tracking Technical Advisor visits to country programs: Maintain a schedule and tracker for advisors to the region.
    • Maintain Integra-related expense management procedures for East& Central Africa teams.

    Travel Support

    • Follow up on travel details, visas, and accommodations, and coordinate schedules for visitors to the region as required.
    • Follow-up on onboarding needs for new regional team members.
    • Gracefully and diplomatically represent IRC internally and externally.

    Event Planning and Delivery

    • Develop and manage comprehensive EAST and Central AFRICA Regional calendars, including internal and external events.
    • Contribute to the flawless execution of critical engagements/events in the regions run by IRC, ensuring seamless logistics and stakeholder support. Organize and execute regional conferences and workshops as assigned, inclusive of arranging suitable dates, times, venues, travel, catering, and reconciliation of expenses against approved budgets.
    • Capture key takeaways from events and follow up on action items.

    Analysis support for the region 20%

    • Collating related information from seminars, conferences, and workshops, desk research, and creating data for Regional SMT decision-making.
    • Creating data dashboards as directed by the Regional Vice Presidents and Deputy Regional Directors.

    Communications 20%

    • Provide high-level communication support to the Regional Vice Presidents and Deputy Regional Directors for both regions- inclusive of managing the calendar, management of meetings/ appointments providing support in email management, managing travel, and tracking key initiatives.
    • Maintain and update the region’s external contact list as well as the internal regional mailing lists.
    • Under the direction of the Regional Vice Presidents and or the Deputy Regional Directors, produce polished written communication in English & French.
    • Support in the preparation of internal communication as requested by Regional Vice Presidents, Deputy Regional Directors, and

    Regional Management Teams.

    Job Requirements

    • Education: Bachelor’s degree in business administration or any related field.
    • Work Experience: 4 to 5 years of experience in a similar role, preferably working in INGO environment.

    • Strong communication and interpersonal skills: demonstrated ability to work effectively across and within a large, complex non-profit organization, both laterally and vertically, and diplomatically communicate with a variety of people in a multicultural environment.

    Human Resources Assistant

    Summary Of Responsibilities

    • The HR Assistant is responsible for supporting the field HR Office in HR administrative tasks to ensure smooth running of the office.

    Key Tasks
    Talent Acquisition:

    • Support the assigned recruiter for the field office with all field office recruitment by:
    • Vacancy posting in internal and external media as appropriate.
    • Contacting candidates for interview.
    • Providing the panel with interview packs.
    • Contacting referees post interview to support appointment.
    • Sending unsuccessful candidates, regret letters.
    • Maintain updated recruitment files for each position recruited.

    Talent Management

    • Ensure that all staff requirements prior to arrival are available.
    • Ensure all new staff are appropriately enrolled onto the payroll &Employee benefits schemes with the appropriate documentation.
    • Maintain staff files with all the requisite documentation.
    • Monitor induction process, ensuring that performance objectives are set and, and that post probation evaluation reviews are submitted on timely basis.

    Contract Management

    • Monitor expiry of staff contracts and advise the HR Officer on a timely basis.
    • Assist in preparing of contracts/LOU’s (Letters of Understanding) for Kakuma Incentive staff i.e. new staff/renewal.

    Services And Administration

    • Maintain a detailed knowledge of IRC personnel policies and assist the Human Resource department in ensuring employee adherence.
    • Maintain up to date records (forms, approvals, requisitions) for all field staff in relation to Personnel files, Recruitment, Leave,
    • Training, Performance Management, Benefits, Payroll, Exit.
    • Close and archive personnel files on timely basis.
    • Preparation of mailbag.
    • Ensure timely submission of monthly timesheets.
    • Support localized incentive/refugee recruitments.
    • Preparation Incentive/refugee staff Payroll before review by the HR Officer.
    • Maintaining stationery supplies for HR Office

    Hris

    • Support the maintenance of all talent acquisition and management processes on Workday HRIS management system.

    Reporting

    • Provide weekly/monthly reports to the HR Officer on the status of Personnel files, Leave, Training, Performance Management, Benefits, Payroll.

    Staff Training And Development

    • Facilitate all requests for staff training as approved in Annual L&D Plan and maintain database of trainings attended.

    Separation Process

    • Coordinate the exit process and ensure finalization of all procedures within one month.
    • Ensure timely deletion of staff from insurance benefits.

    Minimum Qualifications:

    • At least 2 years’ experience working in a busy HR department.
    • Degree / Diploma in Human Resource, Business Administration, Business Management or related Field.
    • Strong interpersonal skills, high degree of flexibility and a standout colleague.
    • Excellent writing and organizational skills.
    • Experience working in a multi- cultural society.
    • Conversant with word processing, spreadsheet and email computer applications.

    Monitoring, Evaluation, Accountability and Learning Assistant

    Scope Of Work

    • Working under the direct supervision of the MEAL Officer and technical guidance from the Senior MEAL Officer, the MEAL Assistant will be based in IRC Urban Office in Nairobi, Rongai Livelihood Resource Centre. The MEAL assistant will work closely with all program staff in the field to implement the IRC Re:Build MEAL commitments and improve program quality through enhanced data management systems and processes.
    • The MEAL Assistant will be responsible for leading day-to-day MEAL issues arising in the Field Office and providing technical support to field teams to ensure the effective implementation of projects.

    Specific Roles & Responsibilities

    • Collaborate with program to ensure routine data collection as per the MEAL project workplan.
    • Support the field organization of data collection survey, client satisfaction survey, and client feedback collection systems.
    • Ensure data is reported in the IRC project indicator dashboard.
    • Input and maintain up-to-date monitoring and client databases in CommCare.
    • Participate in regular data verification and audit exercises to assess the quality of data reported and address any anomalies identified.
    • Keenly supervise project progress through standardized data collection tools and methodologies.
    • Support MEAL officer in the compilation of Monthly, Quarterly, Biannual, and annual reports through provision of timely accurate and updated data.
    • Develop project monitoring and evaluation tools with support from M&E Officer and Senior MEAL Officer.
    • Other related duties as assigned by supervisor.

    Minimum Qualifications:

    • A degree in mathematics, education, statistics, economics, community development, project management, or any business-related course.
    • A strong commitment to the mission and values of the International Rescue Committee.
    • 2 years of experience in the relevant field.
    • Excellent attention to detail and accuracy in data collection and entry.
    • Basic understanding of data collection tools and mobile data collection systems, with a willingness to learn.
    • Strong communication skills to effectively participate in discussions and interviews during qualitative data collection.
    • Ability to work collaboratively in a team and act in accordance with the rules from the M&E team lead.
    • Proficiency in using technology, especially mobile devices, and data collection apps.
    • Prior experience in data collection, surveys, or related fields is a plus.
